What you can do
Check the authority behind the visit
Before clinical action, inspect consent and the authority of the person carrying out care. The consent record carries purpose, version, signed date, expiry date and document against patient. Clinical privileges identify a clinician’s privilege type, license number, issuing authority and verification evidence within its effective date window. Care-team assignments connect that clinician to the patient for access purpose and an effective date window.
The patient consent summary distinguishes Pending, Active and Withdrawn. Before admission, resolve the signed purpose-specific consent record and its validity. Check the clinician’s verified privilege and effective care-team assignment alongside the linked user account. The admission and specialty capture workflows resolve the required evidence before permitting the non-emergency action.
How the work is organized
- Consent evidence. Coordinator checks the intended purpose and version, the signed record and its validity. Pending, Signed, Withdrawn and Expired are distinct consent states. The action queue helps staff identify records that need attention before admission.
- Professional authority. Clinical privileges distinguish Pending, Verified, Suspended and Expired. Review the privilege required for the action, including documentation and encounter review.
- Patient scope. Care-team assignments use patient and clinician with status Active or Ended. Check the effective interval for the action being attempted, including a vaccination’s administered date. The staff member’s linked user account must resolve the clinician to an authenticated identity.
What to agree during setup
Agree which consent purposes and versions the practice uses, who receives signed documents and how withdrawal or expiry is handled. Choose the people responsible for reviewing professional evidence and recording verified access. Map each responsibility to the intended account during setup, then test its permissions against the actual care work.
Rehearse clinical authority for documentation and review separately. A person permitted to document a visit may still lack Review authority. The non-emergency path blocks missing or withdrawn consent. Agree any emergency procedure with the clinical owner and rehearse it separately before changing the workflow.
The verification inbox is a preparation queue for pending privilege evidence. Review professional evidence and the actual effective dates through the practice’s agreed verification procedure before recording the verified outcome.
Check the handoff on an actual case
Prepare Milo’s encounter with a signed consent for its intended purpose and an active assignment to the attending veterinarian. Confirm that the clinician resolves through their linked user account and has the required verified privilege. Rehearse admission and animal capture with that complete context.
Then withdraw the consent and repeat the non-emergency action. Verify that it is blocked. Test a clinician with an Ended assignment and another with Suspended clinical privilege. Each should fail the relevant workflow check. Repeat these failures through a direct command, checking that clinical authority is enforced at the action itself.
Finally, ask Clinical Reviewer to inspect the authorized encounter. Keep the review decision tied to the appropriate patient scope. Consent collection by Coordinator and configuration by Admin do not make either person the veterinarian responsible for the care.
