What you can do
Check the resource interval before promising departure
Assigning a truck requires more than choosing a vehicle name. Dispatch Coordinator links the load to a driver and vehicle, records the working start and end, and keeps the availability check with the assignment. Held work remains visible while the team resolves readiness or timing. Confirmed work provides the resource reference for the loading and departure conversation.
Driver records carry license class, license expiry and eligibility dates alongside availability status. Vehicle records carry equipment identity, capacity and readiness. Review these facts together with the load’s equipment class. A familiar driver or vehicle still needs a current check for the particular journey.
How the work is organized
The assignment connects operational resources to the same load the dock team is preparing. When the plan changes, Dispatch Coordinator revisits both the assignment interval and the supporting availability note.
- Check the driver. Review whether the driver is Active, its availability status and the relevant eligibility dates. Resolve questions with the authority responsible for those records.
- Check the vehicle. Confirm the intended unit and its readiness, then compare its asset type with the load’s equipment class. Review the associated inspection or defect before accepting an unclear release position.
- Confirm the interval. Use the working start and end to compare assignments. Record the availability assessment before moving Held work to Confirmed.
What to agree during setup
Decide what an assignment interval includes: collection preparation, travel and the expected return or onward handoff. Agree who updates it when the delivery appointment changes. Explain how planners will recognize the difference between a driver who is Available and one who is On Duty or Resting.
Keep eligibility evidence current under the organization’s operating policy. If your fleet or driver authority supplies the controlling information, set up that connection and decide how Dispatch Coordinator will reconcile it. Agree the capacity basis used to assess the load; a requested quantity needs the appropriate unit and weight context before comparing it with vehicle capacity.
Check the handoff on an actual case
A confirmed afternoon assignment uses a truck returning from a morning delivery. That delivery is delayed. Dispatch Coordinator inspects the revised end time and the later assignment’s start, then checks an alternative unit before the warehouse continues loading toward the original departure.
The alternative truck is available but has a defect marked In Repair. Review the repair evidence and release position with the responsible team. Record the eventual assignment choice with an availability explanation. If the original assignment is cancelled, keep its outcome visible so the shift handover does not treat both units as committed.
Rehearse a driver change as well. The replacement driver’s license and eligibility dates need the same review as the original choice. Transport Supervisor should be able to understand which assignment was current when the loading check was approved.
What your team sees
- Load assignment schedule — Driver and vehicle commitments across their working intervals.
- Available drivers — Available drivers with active state and eligibility dates for the assignment check.
- Open Defects — Vehicle issues that need investigation before a resource choice is confirmed.
Follow the work through
Use resource readiness to prepare a defensible assignment. Continue with plan to loading approval when the physical load is ready for review.
