What you can do

Decide which trailer can proceed

A dock instruction changes what people do on the ground. Transport Supervisor needs the current trailer and parking evidence, the intended door and the load context before authorizing that instruction. The clerk submits a yard visit for review; the supervisor approves or rejects that submitted work independently of the person who created it. An approval belongs to the reviewed revision.

The yard visit progresses through Draft, Submitted, Approved or Rejected, with Completed reserved for the authorized action after its effects have persisted. This gives the team a useful distinction between a decision to proceed and confirmation that the dock work actually happened. Operations Overview helps the supervisor find work still waiting on review.

How the work is organized

  • Prepare the decision. Inventory Clerk checks the trailer, arrival and parking details against the load. Submission preserves the version the supervisor will inspect and raises the visit revision.
  • Record an independent outcome. Transport Supervisor approves or rejects the submitted visit with the relevant evidence and reason. The visit creator cannot act as its own reviewer, and an outdated revision must be refreshed before a decision.
  • Confirm the action. Inventory Clerk carries out approved dock work using confirmed source authority. Completion follows the persisted outcome; a supervisor’s approval alone is insufficient to report the trailer movement as finished.

What to agree during setup

Identify the person who acts as Transport Supervisor for each operating shift. Decide what evidence demonstrates that the intended door is available and who confirms physical readiness. Agree how the dock action obtains its reservation authority before execution, including the check for a conflicting reservation. Review the meaning of the decision reason with the people investigating rejected work.

Keep the load and visit revisions together during a rehearsal. A changed trailer or parking instruction can affect the decision even if the load number remains the same. Test direct action requests as well as the visible buttons, so a clerk cannot bypass review by issuing a completion request from another screen.

Check the handoff on an actual case

A clerk submits trailer TR-418 for door D-04. Transport Supervisor notices that the supporting yard information still places another trailer at that door. The supervisor rejects the visit and records the conflict. That result explains why the clerk must resolve the physical situation before further dock work.

In a separate approved case, the clerk attempts completion while the dock action has an unresolved result. The visit stays short of Completed until the persisted effect is confirmed. Ask Auditor to follow the decision and operation receipt back to the same load. The reviewer should be able to explain who decided, which source revision they reviewed and what actually occurred.

What your team sees

  • Yard Visits Awaiting Review — Submitted trailer and parking details ready for the supervisor’s decision.
  • Review Decisions Register — Recorded outcomes and reasons for reviewing the load’s decision history.

Follow the work through

Use arrival to dock completion for the operating sequence and operation reconciliation when completion needs investigation. Review permissions before assigning shift coverage.
