What you can do
Confirm who and what can move the load
A trailer can be ready at the dock while its intended driver or vehicle is unavailable. Inventory Clerk checks the driver’s active state and eligibility date, then checks the vehicle’s readiness and equipment class. The assignment records which driver and vehicle are committed to the load and the interval that commitment occupies. That interval gives planners a practical basis for spotting competing work.
Vehicle defects remain part of the release conversation. A Critical defect needs its repair and release evidence before the equipment can be treated as fit for the planned action. A general Ready label cannot replace an unresolved defect review. External driver and fleet authority stays with the designated source connected during setup.
How the work is organized
- Check the driver. Compare the active identity and eligibility date with the intended assignment. Use the external authority reference to resolve questions before confirming the load’s commitment.
- Check the vehicle. Review readiness and equipment class alongside defect severity, repair evidence and release time. A vehicle marked Held or Maintenance needs resolution before it is used for dispatch.
- Reserve a feasible interval. Enter the assignment start and end, then check the same driver and vehicle across other active commitments. Confirm only work that can occupy its interval without a conflicting assignment.
What to agree during setup
Define the clock basis for assignment intervals, including work that crosses midnight. Agree when an assignment stops holding a commitment and how a cancelled load releases it. Drivers and vehicles need stable codes so repeated imports do not hide the same resource behind different display names.
Review how fleet evidence reaches the yard team. Decide who may update the vehicle record and who verifies a defect’s release evidence before using it. Test both an expired driver eligibility date and an unresolved Critical defect. The expected result should be a visible reason to stop the dispatch attempt, with the existing commitment retained for investigation.
Check the handoff on an actual case
Driver DR-17 and vehicle V-12 are committed from 08:00 to 11:00. A second load requests the same vehicle from 10:30 to 12:00. Inventory Clerk compares the intervals and resolves the conflict before confirming the second assignment. A different load number does not make the same vehicle available twice.
Now rehearse the first load with a Critical defect reported against V-12. The team checks the repair evidence and actual release before proceeding. An unrelated document attached to the load cannot stand in for that defect’s release. Ask Transport Supervisor to explain the chosen equipment and ask Auditor to follow the defect back to the same vehicle.
What your team sees
- Load Assignment Schedule — Driver and vehicle commitments shown with their start and end times.
- Loads Board — Active loads with the equipment requirement and operating context for each assignment.
Follow the work through
Use load plan to dispatch to rehearse resource conflicts. Review departure to delivery evidence for the later assignment and stop handoff.
