What you can do

Give each arrival a clear place in the yard

The gate team needs to know which trailer has arrived and which load it belongs to before directing it toward a door. Inventory Clerk captures the trailer identifier and actual arrival against a yard visit. The visit carries its parking slot and recorded waiting minutes while the parent load retains the carrier, dock door and seal. Together they let the next shift distinguish a trailer waiting in the yard from a load already being worked.

Operations Overview brings gate and dock position into the same operating picture. Use it to find the work that needs attention, then inspect the load and visit behind the summary. A carrier name alone is insufficient when several trailers from that carrier are on site.

How the work is organized

  • Identify the trailer. Match the physical trailer to the intended load and confirm the organization before recording arrival. Keep the load number available when the driver uses a different carrier reference.
  • Record the parking position. Enter the agreed parking slot and retain the arrival evidence. Correct the draft before submission if the team finds the trailer elsewhere. Preserve submitted details for review; a changed instruction needs a fresh decision before the team acts on it.
  • Prepare the dock request. Keep the visit in Draft while the clerk checks the trailer, waiting time and parking details. Submission sends that specific revision for an independent decision.

What to agree during setup

Agree the format for trailer identifiers and physical parking names. Decide which arrival evidence the clerk uses when the gate log and carrier message differ. Establish the yard’s time zone and who resolves a disputed arrival time. Recorded waiting minutes need a common interpretation so a shift comparison does not mix elapsed waiting with estimates made at different points in the visit.

Confirm how staff find the parent load and how duplicate-looking arrival entries are investigated. Choose a shift handoff routine that includes visits still in Draft, Submitted or Approved. The reviewer needs the current visit, not a printed copy whose parking instruction has already changed.

Check the handoff on an actual case

Trailer TR-418 arrives for load Y-204 while its intended dock is still occupied. Inventory Clerk records the physical arrival and directs the trailer to parking slot P-07. The visit remains connected to Y-204, so the next clerk can compare the trailer with the carrier and seal details without creating another load.

Before submission, the team discovers the driver parked in P-09. The clerk corrects the draft using the observed position and submits the current revision. Transport Supervisor checks that position when reviewing the dock request. Rehearse an older browser tab attempting to submit the earlier revision and confirm that it cannot replace the current instruction.

What your team sees

  • Yard Visit Queue — Open visits with the trailer, arrival and parking information needed for the next yard action.
  • My Loads — Loads assigned to the signed-in clerk, including the promised delivery and recorded arrival.

Follow the work through

Arrival to dock completion carries the visit into review. Use the implementation plan to agree the gate evidence and shift handoff before the pilot.
