What you can do
Keep the load plan tied to its promise
A yard visit makes sense in the context of the load it serves. Inventory Clerk prepares the load number, carrier and transport partner, then records the promised delivery time and equipment class. The dock door and seal stay with that load as the trailer moves through the yard. Ordered stops describe the appointments beyond the gate and retain actual arrival and departure evidence.
The planning conversation begins with the promised delivery. An operating delay may require a different arrangement, but it must not silently turn the original commitment into an easier target. Keep the original promise available when reviewing actual delivery, and use the stop evidence to explain where the trip changed.
How the work is organized
- Build the operating plan. Prepare a Scheduled load with a responsible owner and the intended partner. Review the equipment requirement alongside the carrier and dock details before confirming the supporting assignments.
- Sequence the appointments. Arrange stops in their intended order and confirm each appointment against its start and end window. Record actual arrivals and departures against the stop that occurred, rather than treating the load’s gate arrival as every stop’s arrival.
- Retain delivery evidence. Capture the recipient’s proof reference and actual delivery time when available. Keep unresolved evidence visible during the freight handoff so a departed load does not appear delivered merely because it left the yard.
What to agree during setup
Agree how the load number and any external reference will be matched. Establish which partner records represent the relevant yard or receiving location. Review the appointment time zone and how staff interpret an overnight window. The schedule should use the same clock basis as the arrival evidence it will later be compared with.
Decide which recipient evidence is acceptable and who confirms the actual delivery time. Freight amount is recorded in US dollars here; agree the receiving financial system and the reviewed handoff before using that amount for settlement. Carrier tracking and financial processing are connections to set up.
Check the handoff on an actual case
Load Y-204 is promised for delivery at 16:00. Its receiving appointment runs from 15:00 to 16:00, but the actual arrival is 16:20. Inventory Clerk records the late arrival on the correct stop, retains the recipient’s proof reference and enters the actual delivery time when confirmed. The promised time remains 16:00.
Transport Supervisor can now distinguish the original commitment from what happened. If another stop still lacks a departure time, the team investigates that evidence separately. Rehearse a load that has departed the yard but has no recipient confirmation. It should remain in the evidence follow-up rather than improving the delivery comparison with an assumed completion time.

Follow the work through
Load plan to dispatch checks readiness before movement. Departure to delivery evidence carries the actual outcome into review.
