Prepare the next decision with Proto

Ask Proto to prepare order reviews, assigned work and receipt comparisons for the bakery team.

It can

  • Property Manager: Show active customer orders due today with their equipment and quantities, and identify commitments that need a capacity review.
  • Front Desk Agent: List my assigned cleaning and customer service tasks with their due dates and linked orders.
  • Finance Officer: Compare the order's posted items, counter charges and confirmed receipts, keeping potential shared charges separate for review.
  • Operations Reviewer: Bring together the order completion evidence and show equipment still awaiting its cleaning inspection decision.

Stays with a person

  • Proto acts within the configured person's permissions.
  • Operations Reviewer owns the completion and cleaning-release decisions.
  • Finance Officer needs actual payment confirmation before treating a receipt as Confirmed.
  • Keep the deciding person and source evidence attached to the action.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the operating scope

Choose the customer-order cycle, equipment and counter activity for the pilot. Property Manager confirms quantity units, equipment capacities and the meaning of the requested start and due dates.

  2. Map identities and records

Link staff to user accounts, identify existing customers and equipment, and preserve the order references used by charges and receipts. Review dated prices with their minimum quantities before importing open work.

  3. Configure the handoffs

Review confirmation, production start and special-order capture with Front Desk Agent. Finance Officer agrees receipt evidence and financial corrections. Operations Reviewer defines the completion and cleaning-inspection decisions with the team.

  4. Rehearse the exceptions

Try an overlapping equipment request, a changed confirmation retry, a wrong counter charge and a Pending payment at completion. Complete a cleaning task with a failed inspection and verify that the equipment stays in Cleaning.

  5. Reconcile and release

Compare imported orders, posted charges and confirmed receipts with their sources. Retain unresolved obligations explicitly, agree who follows them up and have the responsible team accept the pilot before opening the next operating cycle.

Scope, rollout and pricing for Bakery Management.

All questions
How do I get started?

Click Get started, then use Proto to configure Bakery Management for your business. Pilot a customer order through equipment confirmation, pickup or delivery, a receipt comparison and the cleaning handoff. Bring the people who own those decisions into the rehearsal.

What does an order connect?

An order connects the customer and selected equipment with a start date, due date, quantity and unit price. Its order items, counter sales, payments and special arrangements retain their links to the same commitment.

How do we avoid conflicting equipment commitments?

The confirmation action checks the request interval and quantity against equipment capacity, then rechecks overlapping dates before confirming the order. Agree quantity units and the date convention during setup so the rule matches the bakery's operating practice.

What happens when production starts?

The confirmed order moves to In Production and its equipment becomes In Use. The action records start evidence and prepares authorized draft items and open tasks. Finance Officer checks payment confirmation separately against the actual source.

Can we record pickup and delivery arrangements?

Yes. Front Desk Agent captures Pickup or Delivery with the outlet name, scheduled date and quantity against the selected customer order. Operations Reviewer examines the attributed request, and the team can inspect it from the special-order screen and order detail.

How do counter sales affect the order?

A counter sale records an outlet charge against the order and follows Draft, Posted and Voided. Finance Officer checks whether an order item already represents the same charge before comparing the obligation with confirmed receipts.

Does completing an order confirm its payment?

No. Completion uses confirmed receipts or an explicitly acknowledged outstanding account. A Pending receipt keeps its actual payment-source status when the order completes. Operations Reviewer reviews the financial evidence before authorizing the eligible outcome.

When can equipment be used again?

Order completion sends the equipment to Cleaning. A passed cleaning inspection is required before it returns to Available. Completing the cleaning task records the work; Operations Reviewer still handles the release decision.

Who maintains the prices and charges?

Property Manager maintains dated price lists with their unit prices and minimum quantities. Finance Officer prepares authorized financial entries, checks supporting evidence and uses the permitted posting or void path. Review the quantity and price conventions together before accepting orders.

How do we connect payments and accounting?

Set up the chosen provider or accounting connection with explicit reference mapping, source ownership and reconciliation rules. Rehearse delayed and repeated results before enabling routine transfers. The integrations guide explains the decisions to make.
