What you can do

Make a commitment the bakery can meet

A customer request becomes an operating commitment when the dates, quantity and equipment have been checked together. Property Manager captures the customer and order details. Front Desk Agent checks the request before submitting confirmation. The order stays Requested while that check is unresolved, giving the team a clear distinction between incoming demand and work already promised.

The order carries its own customer reference and equipment reference. Use those links when a customer calls about a changed collection date. Searching by a familiar name can help find the record, but the team should confirm the order number before changing the commitment or discussing its payment.

How the work is organized

  • Capture the request. Record the start date, due date, quantity and unit price against the selected customer. Property Manager checks that the requested equipment is appropriate for the work and that its capacity uses the same quantity basis.
  • Check the commitment. Confirmation checks the requested interval and quantity against equipment capacity, then rechecks overlapping commitments before the order becomes Confirmed. A busy counter should never need to guess which request secured the available equipment.
  • Follow the order. Use In Production for work that has started and Completed after the final reconciliation. Keep Cancelled orders separate when reviewing active customer demand so a withdrawn request does not appear in the day’s production queue.

What to agree during setup

Agree how the bakery measures order quantity and equipment capacity. A tray count and a piece count need an explicit conversion in the operating instructions before staff compare them. Decide which date marks the beginning of the equipment commitment and which date ends it. Confirm how same-day requests fit the date-based booking policy.

Property Manager owns the customer and equipment setup. Front Desk Agent uses the authorized confirmation action. Give each person a staff identity linked to their own account, and rehearse the difference between reading an order and changing it through an authorized action. The roles page explains the responsibilities to review.

Check the handoff on an actual case

A customer asks for a weekend collection while another order already uses the preferred oven during the same interval. Front Desk Agent checks the requested quantity and dates. If the overlap cannot pass the capacity rule, the order remains Requested while Property Manager discusses another date or eligible equipment with the customer.

After the revised request is confirmed, replay the same confirmation request. It should return the existing result without creating another commitment. Then change the quantity while reusing that request identity. The team should see a conflict requiring a fresh review. Before accepting the pilot, ask the next shift to explain the promised date from the order itself.

What your team sees

  • Open bakery orders — Customer commitments with their equipment, quantities and dates for the daily intake review.
  • Order production board — Orders grouped by status so the counter can distinguish requested work from production already underway.

Follow the work through

Order confirmation and production carries the confirmed request into the bakery. Order completion and cleaning follows the final reconciliation and equipment handoff.
