What you can do

Know which material left inventory

Operator records each material issue against the work order, item and lot actually used. The issue quantity and date explain the withdrawal, while inventory balances retain the item, location and lot context. Planner can compare the material available with the production work being prepared. Quality Reviewer can follow the material used when examining the resulting batch.

Posting changes inventory. The material issue starts as Draft; the posting action checks that draft, reduces the matching item and lot balance once and marks the issue Posted. Batch input capture records which material went into a batch as a separate step. Keep both records tied to the same physical event when preparing the handoff.

How the work is organized

  • Choose the physical lot. Operator checks the material identity and lot label before preparing the issue. Use the inventory location to distinguish stock that happens to share an item name.
  • Post the issue. Submit the Draft material issue through the posting action. Check the returned status and the affected balance before deciding whether another action is needed.
  • Review the remaining stock. Inventory by Lot shows on-hand and reserved quantities together. Planner and Buyer use those figures as context when discussing the next production run or supplier requirement.

What to agree during setup

Agree item units and lot naming before importing opening inventory. The material issue records a quantity against the item; the team must understand that item’s unit when reading the movement. Decide who reconciles stock by location and who investigates an unexpected balance. Review how the posting action identifies the intended balance when similar lot labels appear in different places.

Use a representative opening balance and a known issue to test the setup. Keep the physical count and its date available during that rehearsal. When a posted issue needs correction, stop and have the responsible team inspect the original posting and current balance before choosing a correction procedure. The Reversed status needs an agreed operating procedure before anyone uses it.

Check the handoff on an actual case

An ingredient lot holds 120 kilograms at the selected location. Operator prepares a Draft issue for 30 kilograms against the released work order. After posting, the issue is Posted and the matched on-hand balance is 90 kilograms. Operator then records the material and source lot against the production batch so Quality Reviewer can trace the input.

Repeat the original posting request during the pilot. The balance should stay at 90 kilograms. A slow response should not cause another withdrawal of the same 30 kilograms. Next, inspect the batch input evidence and confirm that saving it does not reduce the balance again. Its purpose is to attribute the consumed material to the batch.

Finally, select the production log on Production Logs and Details. Review the material issues and inventory balances revealed for that selected work. Ask Operator to explain the posted quantity and ask Planner to identify the remaining stock without combining different lots or locations into an unexplained total.

What your team sees

  • Inventory by Lot — Inspect on-hand and reserved quantities for each item, location and lot, including zero balances and negative quantities needing investigation.
  • Draft Material Issues — Check the work order, lot and quantity before posting.
  • Posted Material Issues — Review completed issue postings during the production and quality handoff.

Follow the work through

Follow Lot to batch input to connect the withdrawal to batch evidence. Use Batch output to release for the finished inventory handoff, and review Data model before migration.
