What you can do
Give production a clear demand reference
Planner records the customer order, its order date and required date, then enters the item quantities and unit prices on its lines. Each work order links back to an order so the production team can identify the demand behind a run. The order’s status distinguishes Draft, Approved, Released, Fulfilled and Cancelled work when Planner reviews its lifecycle before production release.
Buyer maintains supplier purchase orders with due dates and line quantities. Each purchase line keeps the ordered quantity, received quantity and unit cost beside its item. These records support a direct discussion about what is still expected from the supplier. Inventory by Lot supplies a separate view of material already recorded at a location.
How the work is organized
- Maintain the parties. Admin and Buyer check customer and supplier identities and active status. Planner selects the customer record so repeat orders remain attached to the same party.
- Prepare the production demand. Planner reviews customer lines and required dates, then prepares the linked work order. The release action checks the order lifecycle before production is released.
- Follow supplier quantities. Buyer compares ordered and received amounts on purchase lines. Review the supplier due date and purchase order status when deciding which material questions need attention.
What to agree during setup
Agree who maintains customer orders and who updates supplier quantities. Use stable party and item identities during import. Similar names should not create a new customer, supplier or item each time a spreadsheet arrives. Review the item unit before comparing a customer line with a work order or a supplier line with an inventory balance.
Define the operating procedure for moving customer and supplier records through their statuses. Choose who confirms a cancellation or records received quantities. Accounting and supplier communications can be connected during setup if needed; agree their source ownership and acceptance checks before using them in the daily process.
Check the handoff on an actual case
A customer order calls for 500 containers by Friday. Planner checks the line item and quantity, then prepares a work order with the corresponding product and the planned production window. The order reference remains visible on the work order so the floor can identify the demand when production is released.
Buyer is expecting 80 kilograms of an ingredient and has recorded 50 kilograms received on the purchase line. The remaining 30 kilograms explain the outstanding supplier quantity. Buyer checks the due date while Planner examines inventory by lot to understand what can support the run. Received purchase quantity and stock at a specific location each keep their own context.
During rehearsal, update the purchase line’s received quantity and inspect the stock separately. The team should know which action records the physical inventory result. Then review a customer order that has been cancelled before its draft work order is released. The production release check must use the current order lifecycle, so an old draft cannot bypass the demand review.
What your team sees
- Order Queue — Review customer demand in Draft, Approved and Released states with its required date.
- Open Purchase Orders — Follow supplier orders still being prepared, approved or sent.
- Active Items — Check item identity and unit before preparing demand or supply lines.
Follow the work through
Use Order to work order for demand review and Lot to batch input when material enters production. Agree optional connections in Integrations.
