Ask Proto about live delivery records

Use Proto to prepare project records and inspect delivery exceptions with your team.

It can

  • Project Coordinator: Ask for packages due soon, task lines past due and certificates waiting for submission.
  • Project Reviewer: Ask for submitted certificates with their parent packages, revisions, attached evidence and exception receipts.
  • Auditor: Ask for a package's certificate, reviewer decision, attachments and operation receipt trail.
  • App Administrator: Ask which project and team member records need checking before a pilot site begins.

Stays with a person

  • Proto can organize records and prepare a review case.
  • A Project Reviewer still makes the certificate decision, and the Project Coordinator maintains the certificate outcome.
  • The team must inspect the correct package revision, evidence and certified value.
  • A finance system makes and reconciles payments under its own controls.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set project context

Add the organization, project, site contact and active team members; confirm the time zone, currency and identity links.

  2. Plan package work

Define package numbering, owners, due dates and budget hours; add task lines with planned hours.

  3. Run a delivery cycle

Record actual hours, completion dates and attachments; review overdue tasks and active packages in Operations Overview.

  4. Review a certificate

Submit a certificate against the package and organization, have a Project Reviewer inspect the revision and evidence, and give a reasoned decision to the Project Coordinator, who maintains the certificate outcome.

  5. Reconcile exceptions

Inspect failed and review-needed operation receipts, then check certificate outcome and persisted effects before broadening use.

FAQ

Questions, answered

Scope, rollout and pricing for Construction Project Tracker.

All questions
How do I get started?

Click Get started, then use Proto to configure Construction Project Tracker for your business. Begin with one organization, one active project, named team members and a package that can pass through certificate review.

What is a work package?

It is an owned scope of work under a project, with a record number, subject, status, due date and budget hours. Tasks, certificates and evidence connect to it.

Can I see overdue work?

Operations Overview surfaces tasks past due. Packages Due and Tasks Due provide record-level details for follow-up.

How are planned and actual hours recorded?

Task lines hold planned and actual hours. The parent work package holds budget hours, so the team can compare the detail with the scope budget.

Where do progress certificates belong?

Each certificate refers to a work package and organization. Its status, revision, value and dates stay with that record.

Who reviews a certificate?

Project Reviewer examines the submitted version and supporting package evidence, and gives the Project Coordinator a reasoned decision for the relevant revision. The coordinator maintains the certificate outcome.

Can we attach site evidence?

Record attachments keep a file, title, evidence type, upload date and visibility under the work package.

What happens when an operation needs attention?

Operation Exceptions shows receipts marked failed or needing review. Open the receipt to inspect its operation key, expected revision, result and failure reason.

How does contractor payment fit?

Use the certificate and review trail as a handoff to the finance or payment system chosen during implementation. Agree who reconciles the transferred value and certificate revision.

Can an auditor inspect the history?

Auditor can read authorized packages, tasks, certificates, attachments, decisions and operation receipts to follow a reviewed case.
