Prepare the daily site review with Proto

Ask Proto to prepare site reviews while owners retain delivery decisions.

It can

  • Project Manager: Summarize active project milestones, blocked tasks and leading risks for the morning review.
  • Site Manager: List Open site issues with severity and owner before triage.
  • Trade Lead: Compare assigned task estimates with crew capacity for the next work period.
  • Quality Inspector: Find fixed issues awaiting verification and the evidence linked to each subject.

Stays with a person

  • A human owner decides whether a milestone is Met and whether inspection evidence supports a technical decision.
  • The timesheet workflow decides approval on submission from the current status and positive hours.
  • Proto can prepare the record set and explain a failed receipt, but the configured actor's permissions and review policy still govern the change.
  • Check the project and source identifier before acting on a summary.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the pilot site

Name the project manager, site manager, trade lead and quality inspector. Choose one active project, its client or contractor, programme dates and an initial work package.

  2. Map people and work

Import active crew, weekly capacity, package owners and task assignees. Keep project, package and task references consistent; confirm access accounts separately from crew records.

  3. Open the operating lists

Review active projects, task board, blocked tasks, milestones and Site Exception Triage with the people who will use them each morning.

  4. Rehearse decisions

Raise an Open RFI with severity and confirm triage plus a receipt. Try missing severity and a stale status. Submit positive time and check its approval result; then try zero hours and a changed status. Check the review and receipt outcomes.

  5. Review the first cycle

Reconcile package estimates, task actuals and approved time. Check overdue milestones, unverified fixes and leading risks with their owners. Confirm evidence links point to the intended subjects before adding another project.

FAQ

Questions, answered

Scope, rollout and pricing for Construction PM.

All questions
How do I get started?

Click Get started, then use Proto to configure PM for Construction for your business. Pilot one active site, one work package, a small task board and the crew who will record time. Rehearse an RFI triage and a submitted-timesheet approval result before expanding.

What does the project record hold?

It connects the site name and code to its client or contractor, manager, programme dates, contract value, delivery method, status and scope. Packages, tasks, milestones, risks, issues and timesheets connect to that project context.

How do we follow daily site work?

Use the task board to separate backlog, work in progress, review, blocked work and completed tasks. Open a task for its assignee, dates, estimate, actual hours and package.

Can crew members record time against a task?

Yes. A timesheet names the crew member, work date, project and optional site task. Submission triggers approval checks; approved entries retain a review decision and receipt.

What happens if a submitted timesheet has zero hours?

The approval workflow blocks nonpositive hours and records a failed receipt. The source entry needs correction before another approval attempt.

How are RFIs and site issues handled?

A raised issue belongs to a project and carries severity, an owner and a status. Setting an issue to Open triggers triage when severity is present, which records the outcome. Fixed work remains visible for verification.

What is in the site exception queue?

Site Exception Triage brings overdue milestones and tasks, fixed-but-unverified issues and leading risks together with owners, age and links to their source records.

Can we attach inspection documents?

Inspection evidence records a file link, evidence kind and the parent record's type and identifier. A submittal review records the subject, reviewer, date and Approved, Rejected or Returned decision.

How do milestones relate to payment?

A milestone records a site checkpoint and its status. If the checkpoint feeds payment, agree a separate commercial handoff and authority for invoicing or release.

Can we migrate an existing project list?

Start with stable project, package, task and crew identifiers. Load parent records before child work, then reconcile dates, hours and owners on a small pilot site.
