Ask Proto about the work

Ask Proto to prepare site reviews and explain closeout exceptions.

It can

  • Project Manager: Show approved punch items still awaiting invoice follow-through by work package.
  • Site Superintendent: Group open findings by assigned team member and package for today's review.
  • Inspector: Bring submitted item details and attached site photos together for sign-off review.
  • Owner: List overdue or disputed payment records with their task and due date.

Stays with a person

  • The inspector checks the correction before submission, and the billing owner confirms task amount and collection evidence.
  • Proto can organize the records and prepare a review, but a person should confirm the site correction before submission and confirm collection before marking a payment Received.
  • Check the operation receipt when an attempted sign-off or invoice action fails.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set the operating scope

Pick one active project and a bounded work package. Name the project manager, site superintendent, foreman, inspector and collection owner.

  2. Prepare source records

Reconcile project codes, package numbers, team members, contract value, budget hours and open findings. Match attachments to their exact parent records.

  3. Configure the pilot

Agree who records findings, who approves sign-off, who invoices approved tasks and who marks payments Received. Review the saved lists with each responsible person.

  4. Rehearse the guards

Approve a billable punch item with hours and a package, then try one with missing hours. Invoice an approved task with amount and package, then try one without an amount. Inspect every operation receipt.

  5. Review and release

Compare package delivery totals with source labor and expenses. Check task amounts and payment references with the billing owner. Release the agreed scope after the team signs off the actual cases.

FAQ

Questions, answered

Scope, rollout and pricing for Construction Punch List.

All questions
How do I get started?

Click Get started, then use Proto to configure Construction Punch List for your business. Pilot one active project and one work package, then rehearse a finding through sign-off, task invoicing and payment receipt.

How do we record a site defect?

Create a punch item under the relevant work package, add a clear description and reported date, and assign the responsible team member. Attach a site photo to the same record when it helps the reviewer.

Can we track work by trade package?

Yes. Each work package belongs to a project and has a manager, delivery type, dates, contract value and budget hours. Punch items, labor entries, job expenses and tasks can all connect to it.

What happens when an item is submitted for sign-off?

The approval workflow checks billable intent, hours and the work package. An approvable item becomes Approved and receives a review decision and operation receipt. A failed guard leaves it Submitted with a Failed receipt.

Where do site photos go?

A record attachment holds the file URL, kind, uploader and parent record reference. Check that the parent points to the punch item the inspector will review.

How are crew hours and expenses reviewed?

Labor entries and job expenses keep their person, package, amount or hours, and status. The submitted lists help the responsible manager inspect those records before acting on package totals.

When can a task be invoiced?

An Approved task needs an amount and work package. The task invoice action then moves it to Invoiced and records an operation receipt. If either check fails, it stays Approved and has a Failed receipt.

Can we see overdue payments?

Yes. Payment records carry due date and settlement status. The overdue or disputed list shows cases for collection follow-up, linked to their task.

What drives the cost?

Manual use follows the platform's published policy. Agent work, imports and integrations use metered credits, and implementation scope is agreed separately. See pricing.
