What you can do
Account applications in daily work
Return working papers record an application associated with a parent banking instruction and organization. The status tracks draft, submission, approval, rejection and completion. The application can retain a provider application identifier, a decision time and the reviewed revision. Supporting evidence remains tied to the parent instruction.
How the work is organized
- Identify the work. Keep each application tied to its parent instruction and organization. Record the submitted revision before asking for review.
- Keep the evidence. Attach application evidence to the parent so the reviewer can inspect the same source.
- Handle the result. Keep Approved separate from Completed until the required provider authority is recorded.
What to agree during setup
Agree which authority approves an application and what provider response demonstrates completion. A reviewer should inspect the frozen submitted revision and supporting evidence, then record a decision before the status changes. The preparer should not be able to approve their own submission.
Assign the Accounting Preparer to the draft and a different Accounting Reviewer to the submitted revision. Retain the parent instruction evidence and provider application ID through later revisions. The Auditor should be able to trace the decision on the parent without changing the application.
Check the handoff on an actual case
Open an application for a parent instruction, identify the organization, and attach the evidence the reviewer needs. Submit it, have an independent reviewer inspect the current revision, and record the decision. If the provider has not completed the account opening, keep completion open while retaining the approval.
For an application submitted under a provider instruction, have a separate reviewer inspect the submitted revision and parent evidence. Record an approval with its reason, then check the provider application reference. Revise the application and confirm the earlier decision no longer covers it. Leave the application Approved while provider completion remains unverified.
The application status records local progress; the provider application reference identifies external follow-up. On a rejected case, keep the earlier decision and reason tied to the parent instruction. The next submitted revision should have its own independent decision before the team treats the application as approved.
What your team sees
- Open applications — Show Draft, Submitted and Approved applications that still need a decision or provider follow-up.
- Application review — Show submitted revisions for the Accounting Reviewer to decide.
Follow the work through
Follow the instruction lifecycle for the complete handoff. Use implementation to agree provider evidence and access before the first live cycle. The data model lists the parent and related records to prepare for migration.
