What you can do
Provider evidence in daily work
The instruction moves from authorization to provider submission when the team has a provider reference. A submitted or pending instruction remains open until confirmation or settlement evidence identifies the actual provider effect. Document lines hold event identity, occurrence date, amount and evidence type. A local submitted status alone does not establish that the provider completed the movement.
How the work is organized
- Identify the work. Retain the provider instruction ID after submission.
- Keep the evidence. Keep the provider event ID, occurrence date, amount and evidence type on each line.
- Handle the result. Treat confirmation or settlement as effective only after its source is verified.
What to agree during setup
Agree which provider acknowledgement is authoritative, how event IDs are captured and who verifies an evidence line. Keep statements, confirmations, settlement notices and corrections attached to the parent instruction. If a provider response is uncertain, leave the instruction pending and preserve the operation receipt for follow-up.
Agree who obtains provider statements and who verifies each confirmation or settlement line. Retain the original event ID and date even after a correction. The Accounting Reviewer should be able to explain why a Confirmed instruction has source evidence.
Check the handoff on an actual case
Submit an authorized instruction, save its provider identifier and attach a confirmation line with the event date and amount. Compare the line with the instruction before marking it confirmed. Rehearse an acknowledgement without settlement evidence: the team should keep it pending until the actual provider event can be checked.
Submit an Authorized instruction and retain the provider reference. Add a confirmation line with its event ID, occurrence date and amount; verify it before changing the instruction to Confirmed. Try a provider acknowledgement without verified confirmation and leave the instruction Submitted or Pending. Preserve any conflicting event for follow-up.
The team should preserve a statement line even if it cannot establish final settlement. Compare its provider event ID and date with the later confirmation or settlement. A correction adds evidence to the history; it should not erase the source line that explains the original provider response.
What your team sees
- Awaiting provider evidence — Show Submitted and Pending instructions still awaiting a verified event.
- Provider evidence — Show verified statement, confirmation and settlement lines for review.
Follow the work through
Follow the instruction lifecycle for the complete handoff. Use implementation to agree provider evidence and access before the first live cycle. The data model lists the parent and related records to prepare for migration.
