What you can do
Follow the finished part to its customer invoice
Quotes and quote lines describe the priced offer. Customer orders and customer order lines record customer demand with quantities and requested dates. Deliveries retain the sales order, customer, warehouse and carrier reference for the physical shipment. Customer invoices link to the sales order and delivery, while cash receipts record money received and the amount applied. The operational handoff should make it possible to explain the shipped quantity and remaining customer balance without inferring either from a status label alone.
How the work is organized
Stock reservations identify stock held for sales order or work order demand. Inventory separates allocated quantity from free stock. A shipment movement records the physical deduction and its source reference. The invoice is a separate finance effect for the eligible delivery scope.
- Confirm approved demand. Check the customer order status and positive line quantities before allocating finished goods for the intended order.
- Retain the shipping reference. Deliveries use Picking, Packed, Shipped and Invoiced. The carrier reference identifies the shipment with the transport provider; a carrier connection must be set up separately.
- Apply confirmed cash carefully. Cash receipts keep amount and applied amount with Unapplied, partially applied, Applied or Reversed state. Reconcile outstanding customer invoice amounts against actual receipt evidence.
What to agree during setup
Assign customer-order preparation to Plant Administrator and demand review to Production Planner. Operator handles the delivery and reservation work; Accountant checks invoicing and received cash. Agree the partial-delivery rule and, during setup, how each receipt application identifies the invoices it settles. Reconcile applied amounts before changing invoice balances. Set up carrier confirmation as a connection with an identifiable transport reference. Rehearse a short shipment and an unapplied receipt so the team can explain what remains due after the first delivery.
Check the handoff on an actual case
A customer orders an assembly, but only part of the finished quantity is eligible for shipment today. Operator prepares the delivery against the intended sales order and warehouse. The shipping action checks the approved order and available finished stock, posts the eligible Shipment movement and creates the invoice for that delivery scope. The carrying-value journal belongs to the movement’s actual stored identity.
Repeat the shipment command after a timeout. Inventory must not be deducted again, and the delivery must not receive another customer invoice for the same effect. Conflicting replay content requires review. Accountant later records the customer’s cash receipt and checks applied amount against the invoice balance. A reported failure needs its own claim review. Agree how the specialist gathers any required sale evidence, then ask the reviewer to explain the eligibility decision. Keep that investigation separate from the invoice balance so the customer can understand both outcomes.
