What you can do
Finance in daily work
Accountant prepares customer invoices from eligible title-transferred delivery quantities and retained net allocations. Finance Manager independently approves the invoice before posting. Customer cash is recorded from actual receipt evidence; an application consumes available unapplied cash and the invoice’s open scope in one bounded action.
How the work is organized
- Bill eligible value. Accountant prepares invoice lines from the delivered quantity eligible under the order’s title rule.
- Decide before posting. Finance Manager checks the frozen invoice, rate and open period independently.
- Settle from evidence. Cash receipts, applications and bank statement reconciliation each have their own source and date.
What to agree during setup
Agree the entity’s currency, invoice tax treatment, exchange-rate source and accounting periods. Define the independent invoice and payment authority before any posting. Keep bank account details restricted to the finance users who need them.
Rehearse a partial delivery followed by a partial customer payment. Accountant should invoice only eligible value, apply no more than the receipt’s available amount, and leave both the invoice balance and unapplied receipt visible. Match a later bank statement line before calling the cash reconciled.
Check the handoff on an actual case
When a dealer pays part of an invoice, the receipt remains partly unapplied and the invoice remains partly unsettled. A later bank statement line provides separate reconciliation evidence. Supplier payment proposals preserve their beneficiary snapshot and need release authority; an outbound instruction alone does not establish bank settlement. Period work ties source reconciliations to a guarded close.
Accountant should trace the invoice to its shipment line, retained price allocation and approved decision. Finance Manager checks the current invoice revision and open period. When a supplier payment is released, the instruction remains separate from bank settlement; Close Tasks stay open until the related balances reconcile.
If the dealer pays in another currency, Accountant should check the receipt rate and invoice rate used for the application. The remaining balances belong to their original currencies, while settlement differences follow the journal. Finance Manager should review a correction against the original posting instead of editing history after the period closes.
What your team sees
- Invoices Awaiting Approval — Prepared invoices awaiting Finance Manager’s decision.
- Unapplied Customer Cash — Posted receipts with value still available for an invoice.
- Period Close Work — Tasks whose cutoff, owner and evidence need review.
Follow the work through
Walk through the related process and use the data model to trace each source record. Set the owners and review boundaries in roles before an operating cycle starts.
