What you can do

Purchasing in daily work

Purchasing starts with an operational request and becomes a supplier commitment only after the relevant approval. Actual arrival and accepted quantity remain separate. The team keeps each handoff tied to its source record so changes to a later step do not quietly rewrite the earlier decision.

A purchasing manager orders replenishment stock from a supplier. The purchasing manager prepares the vendor order; the warehouse operator records what arrived. The accepted tranche becomes stock, while the accountant matches the bill to accepted receipt scope. Keep the approved revision with the work. When circumstances change, record the correction or next decision against that version.

How the work is organized

  • Request. Purchasing Manager records demand and checks the buy unit and supplier terms.
  • Approve. Finance Manager reviews the supplier commitment before it is sent.
  • Receive. Warehouse Operator records arrival; Warehouse Manager accepts the eligible portion for stock.

The preparation and execution records answer different questions. A planned quantity describes intent; a posted movement, accepted receipt or confirmed payment describes what actually occurred. Keep both when comparing what was promised with what happened.

What to agree during setup

Agree supplier identifiers, buy units, authority amounts and who independently accepts arrivals. Decide how shortages, rejects and nonstock charges are recorded before importing open purchase orders. Document the decision owner for each exception. Give users only the entity and location scope they need. Use a pilot with an ordinary case and a partial or failed case before allowing routine work to depend on the configuration.

The item code and customer or supplier identity should stay stable during migration. Where a document carries a currency or unit conversion, retain the applicable version with that document. A later master change should apply to future work, not change an accepted transaction.

Check the handoff on an actual case

Rehearse an arrival smaller than the purchase order. Keep the unreceived promise open and match only the accepted portion of the supplier bill. Preserve the original approved commitment when an amendment raises the total. Ask the preparer and decision maker to review the same case separately. Compare the source quantity, the actual recorded quantity and what remains available for the next step.

The receiving team should be able to explain why the record is ready, what still needs review and who owns the exception. Rehearse a repeat submission and a changed source after approval. Keep the original evidence visible when the case is corrected.

What your team sees

  • Purchase Approval Queue — Review submitted supplier commitments and their current value.
  • Receipts Awaiting Review — Compare arrived goods with the portion awaiting acceptance.

What it keeps track of

Data model
Requests
Operational purchasing demand without automatic spend approval.
Request lines
Requested product quantities and source demand identity.
Vendor orders
Immutable approved supplier commitments; cumulative amendments cannot bypass authority.
Vendor order lines
Buy-unit quantities, frozen commercial costs and current accepted scope.
Ingest receipts
Immutable actual arrivals and separately accepted quantities.
Ingest lines
Receipt history does not change as accepted inventory moves or is consumed.
Ingest acceptances
Independent bounded disposition tranches against one immutable actual arrival.
Bills
Local supplier debit/credit documents with matching, carrying and separate settlement.
Bill lines
Supplier charges matched to accepted receipts, with explicit nonstock exceptions.
Bill matches
Reserve and consume accepted receipt versus bill quantities/value once.
