What you can do
Connect each pay period to its calendar
A payroll calendar states the legal entity, country, currency, frequency and cutoff. A payroll run selects the calendar and period, records its pay date and records a gross total. Each employee pay statement belongs to a run and has earnings and deduction lines. Benefit plans and enrollments identify a plan, employee, coverage tier, contributions and effective dates. Tax jurisdiction and filing records keep the reporting context alongside the run.
How the work is organized
- Calendar. Payroll Admin selects the schedule for the employee’s entity, country and currency.
- Statement. Payroll Admin links each employee statement and its lines to the run.
- Approval. Admin reviews gross amounts and statement lines before the status moves beyond pending approval.
Payroll Admin should agree which employees belong on each calendar before preparing a run. Compare each employee’s entity, country and currency with the selected calendar. Review approved time, leave and current benefit enrollment before amounts are entered. Keep the person approving a payroll run distinct from the person preparing the statements where your operating policy requires that decision. The status of the run tells the team where review stands.
What to agree during setup
Agree who owns the calendar and who records the run decision. Payroll Admin prepares runs, statements and tax records; Admin reviews the run independently. Choose how current benefit enrollments and approved time are checked before amounts are entered. Rehearse an employee whose entity and calendar agree, then check a mismatched calendar before the run is approved.
Check the handoff on an actual case
Rehearse a monthly run for a remote employee in a country with its own payroll calendar. Confirm the calendar, period and pay date. Link a pay statement to the employee and record its earning, deduction and tax lines. Check the benefit enrollment effective for that period and compare its contributions with the statement. Before approval, inspect the gross total, statement lines and each statement’s status. Once posting and payment are recorded, keep the original statement linked to the run for later questions.
