What you can do
Maintain the people map
The employee register is the anchor for this work. Each person has a department, position, location and manager, with the location identified as office, remote, field or hybrid. That lets the people team discuss where someone works without treating every home-based colleague as an office employee. The Employees page shows the department distribution, an individual detail and the filtered live register.
How the work is organized
- Assignment. HR Business Partner keeps employee, position, department, location and manager links current.
- Dated change. Employment history records when a transfer or manager change takes effect.
- Pay context. Payroll Admin checks the employee calendar against entity, country and currency.
An HR Business Partner updates the employee when a colleague changes location or manager. Check the position, pay grade and payroll calendar at the same time: those links affect later hiring and pay work. Keep employment history as a dated record of the move rather than replacing the story with only the current employee row. CHRO / VP People can then see the current organization while HR can still explain how it changed.
What to agree during setup
Agree who maintains locations and departments: Admin controls those reference records while HR Business Partner updates employee and position links. Decide when a move needs an employment history event and who records it. Use a hybrid-to-remote transfer to check the employee detail, location classification and payroll calendar together. CHRO / VP People can read the resulting workforce picture.
Check the handoff on an actual case
Take a colleague moving from a hybrid location to a remote location. Have Admin confirm the destination location and its country; HR Business Partner checks the employee’s country, entity, manager and position. Record the effective transfer in employment history when the move changes position or reporting. Then check the Employees page by department and open the colleague’s detail. The employee should appear once with the intended current links; the earlier change should remain legible in the history.
What your team sees
- Active Employees — Current employees grouped for HR review; the Employees page also opens each person’s detail.
- Remote Workforce — Locations marked remote or hybrid for the people team to review.
Follow the work through
Start with the hiring path for a new colleague. Then use the operating cycle or the review cycle as the employee’s work continues. See the data model when mapping an existing register.
