What you can do
Work from a defined cycle
A performance cycle gives the review period, type, start and end dates, and due dates for self and manager review. Each review links a subject, reviewer and cycle and records status, narrative and overall rating. Goals belong to an employee and cycle and can carry weight, progress and a final rating. This keeps discussion tied to a specific review period instead of mixing current and earlier work.
How the work is organized
- Cycle. HR Business Partner sets review dates and links reviews and goals to employees.
- Learning assignment. L&D Admin records course enrollment, due date and status.
- Completion. L&D Admin records completed training separately from the enrollment.
The HR Business Partner should agree which employees and reviewers belong in a cycle and when submissions are due. L&D Admin maintains courses and enrollments with due dates and status. A training record documents completed work, provider and expiration date, where relevant. Employees can maintain goals and see the training records permitted to them. Agree who records a course completion and who checks expiring credentials.
What to agree during setup
Agree who opens each performance cycle and when HR Business Partner records submitted, calibrated and released reviews. Employee maintains their own goals; L&D Admin maintains courses, enrollments and training records. Decide how a completed enrollment becomes a dated training record and who checks its expiration date. Rehearse one review and course assignment for the same employee.
Check the handoff on an actual case
Rehearse a remote team’s midyear review. Open the cycle, link a goal to an employee and assign a reviewer. Record a review in progress, then inspect the review list by cycle and reviewer. Assign a relevant course to the same employee and set a due date. When learning is complete, record its completion date and any expiration date. The people team should be able to answer whether the review is submitted and whether the training record remains valid without confusing the two processes.
What your team sees
- Reviews in Progress — Reviews that still need a submission or follow-up.
- Training Due — Course enrollments awaiting completion.
Follow the work through
Start with the hiring path for a new colleague. Then use the operating cycle or the review cycle as the employee’s work continues. See the data model when mapping an existing register.
