What you can do

Follow the checklist, task and employee

An onboarding checklist can be marked Onboarding or Rehire and links to an employee. Each task carries an assignee, category, due date, status and evidence. A returning worker may need equipment, payroll preparation and training before work starts. Admin gives each item an owner and follows its status; HR Business Partner (HRBP) maintains the separate dated Rehire employment event for that employee.

How the work is organized

  • Starting record. Open the linked employee or transaction and verify its identifier and effective date.
  • Decision owner. Give the record to the configured role that can review or update it.
  • Next action. Keep the receiving record visible until its status and date reflect the completed work.

Admin keeps the employee link on each onboarding checklists record and assigns onboarding tasks with a due date, category and assignee. A Rehire checklist stays linked to the existing employee and their dated employment history. HR Business Partner (HRBP) maintains the dated Rehire event on employment history, then hands the employee identifier to Admin for checklist work.

What to agree during setup

Agree which task categories belong in a rehire checklist, who owns each task, and what evidence counts as completion. Verify the person against the existing employee record before preparing a new checklist. Start with one representative employee and one real operating cycle. Name the person who checks the result and the person who is allowed to change it. Decide when a handoff is complete and what information the receiving team needs.

These agreements make a status meaningful in daily work. If the team cannot tell who receives the next action, assign the owner before adding more records. Review access with a normal user for each role, especially where a worker’s personal or pay information appears. Keep a correction path for an incorrect date or reference so the next cycle does not inherit the mistake.

Check the handoff on an actual case

The HR Business Partner (HRBP) checks the existing employee and records the Rehire event. Admin links a Rehire checklist to that employee and assigns tasks. Admin checks blocked or overdue work before completing the checklist. Ask the receiving role to find the linked record in its normal worklist. Compare the employee, owner, date and status with the starting record. If one link is wrong, correct it and repeat the check before the next decision.

For a known returning employee, compare the earlier termination, the new effective date and the checklist start date. Admin follows Pending and in progress tasks and asks each assignee to record completion evidence. A checklist marked Completed should agree with its task records; a Blocked item needs an owner and follow-up before the next team relies on completion.

What your team sees

  • Onboarding in progress — Review the records and status that require action in this area.
