What you can do

Follow the payroll run, statement and enrollment

A payroll calendar sets the schedule, currency and cutoff. A payroll run records the period, pay date and approval status. Each pay statement links an employee to that run; statement lines carry earnings, deductions and tax amounts. Benefit enrollment links an employee to a plan and effective dates. Payroll Admin can compare these records for one pay period before Admin makes the run decision.

How the work is organized

  • Starting record. Open the linked employee or transaction and verify its identifier and effective date.
  • Decision owner. Give the record to the configured role that can review or update it.
  • Next action. Keep the receiving record visible until its status and date reflect the completed work.

Payroll Admin selects a payroll calendar for the run and checks its frequency, currency and cutoff. A payroll run carries period start, period end and pay date. Each pay statement belongs to that run and an employee; Each pay statement line carries the earning, deduction or tax amount. Admin owns benefit plan and enrollment setup, while Payroll Admin reviews enrollment dates and contributions.

What to agree during setup

Agree each payroll calendar, cutoff and approving person before the first run. Reconcile benefit effective dates and review jurisdiction records for the employees in scope. Decide how payment and filing confirmations return to the team. Start with one representative employee and one real operating cycle. Name the person who checks the result and the person who is allowed to change it. Decide when a handoff is complete and what information the receiving team needs.

These agreements make a status meaningful in daily work. If the team cannot tell who receives the next action, assign the owner before adding more records. Review access with a normal user for each role, especially where a worker’s personal or pay information appears. Keep a correction path for an incorrect date or reference so the next cycle does not inherit the mistake.

Check the handoff on an actual case

Payroll Admin prepares a run for the correct calendar and compares statements and line amounts. Admin reviews the pending run before Payroll Admin records posting and payment. Payroll Admin follows tax filings by period. Ask the receiving role to find the linked record in its normal worklist. Compare the employee, owner, date and status with the starting record. If one link is wrong, correct it and repeat the check before the next decision.

For a run awaiting approval, compare the calendar and period against each statement and its lines. A statement marked Calculated is still different from a run marked Approved. Admin decides the pending run; Payroll Admin reconciles the statements before recording posting or payment. tax filings can carry filing status and confirmation reference for later review.
