Prepare and review with Proto

Use Proto to prepare equipment records and guide a review with the responsible people.

It can

  • Clinical Coordinator: Prepare an asset import map and a due maintenance task list for review.
  • Licensed Clinician: Find the work order, permit and existing evidence for an assigned device.
  • Clinical Reviewer: Gather the work log, calibration reading and identifier record linked to a service visit.
  • Clinical Governance Administrator: Compare technician assignment and certification dates for a planned visit.

Stays with a person

  • People decide whether a permit may be signed, evidence is sufficient or an amount should be approved.
  • Proto can present the linked records and highlight inconsistent dates or references.
  • The responsible person checks the physical device and source evidence before changing an operational status.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Choose the first equipment set

Pick a clinic location and devices with known asset tags, service dates and people responsible for them.

  2. Prepare staff and assignments

Add users and people, check role access, and enter technician assignments with effective dates.

  3. Load safety context

Attach permits and technician certification evidence, then review signed and expiry dates with the team.

  4. Run an operating cycle

Create a due task and work order, record arrival, service evidence, review and completion.

  5. Review history and cost

Compare the completed order with its service history and any received cost entry before expanding the register.

Scope, rollout and pricing for Medical Equipment Tracking.

All questions
How do I get started?

Click Get started, then use Proto to configure Medical Equipment Tracking for your business. Start with a small set of devices, named technicians and a representative maintenance visit.

Can we track equipment by location?

Yes. Each asset records a location, asset tag, name and operating status. Agree location names before importing the first device set.

How do technicians see assigned work?

Maintenance tasks and work orders each reference a technician. The team can use those assignments to review due tasks and service visits.

Where do calibration results go?

Record the calibration type, value, unit, calibrated date and person under the relevant work order.

How are safety permits handled?

A permit belongs to an asset and carries a document, version, signed date, expiry date and status. Check the asset and date before using it for service work.

Can we record a technician's qualifications?

Yes. Certification records hold the type, issuing authority, license number, verification evidence, dates and status for a technician.

Can we trace parts used during service?

A part usage entry records the part, lot number, quantity, unit, work order and authorizing person.

What happens when service needs review?

The work order can move to awaiting review. A reviewer can inspect its signed work notes and linked evidence before the coordinator records completion.

Are service amounts and received costs the same record?

They have separate records and source links. Service history belongs to a work order; a service cost entry belongs to an asset and has a received date and reference.

Can we connect existing systems?

Plan source ownership and identifier mapping for any inventory, scheduling, instrument or accounting connection. Test a representative import before relying on it.
