Who it's for

Multi-location clinics

A clinic with equipment in several locations needs consistent location names and clear technician responsibility. Asset records support that inventory while work orders and tasks show where service attention is due. A coordinator needs to see the upcoming work; a clinician needs the right equipment and work order; a reviewer needs dated evidence. Those questions should lead back to the same device record.

How Medical Equipment Tracking is set up for you

Location register

Use the asset location and tag to identify the physical device across clinic sites.

Work assignment

Assign maintenance tasks and work orders to a named technician rather than relying on a shared inbox.

Valid permits

Check each safety permit against its asset and expiry date before using it for a service visit.

Cost follow-through

Review service history by work order and cost confirmation by asset, keeping the source links distinct.

Pilot one location first. Agree location labels, the person who changes asset status and the person who closes service work. Rehearse a transfer of technician responsibility using the effective assignment dates. Then repeat the same cases at another location and compare the results. This reveals inconsistent naming before the operating team adds more devices.

Keep the initial review close to a real operating cycle. Check an Active device, a due task, a Scheduled order and a permit whose dates the team can verify. Compare the work order with its signed log before changing it to Completed. If a task is Escalated or a permit is Expired, leave that state visible for the person resolving it.

See the [equipment service cycle](/medical-equipment-tracking/processes/equipment-service-cycle) and [implementation plan](/medical-equipment-tracking/implementation) for the handoffs to rehearse. The [data model](/medical-equipment-tracking/data-model) shows how the asset, technician and work records connect.
