Who it's for

Outpatient clinics

An outpatient clinic may have equipment spread across treatment rooms with service visits scheduled around patient care. Keep the equipment tag and location accurate so staff can identify the device without guessing from its name. A coordinator needs to see the upcoming work; a clinician needs the right equipment and work order; a reviewer needs dated evidence. Those questions should lead back to the same device record.

How Medical Equipment Tracking is set up for you

Room equipment

Record each asset at its working location and keep the assigned technician visible when a service visit is planned.

Planned service

Use due maintenance tasks to give the coordinator and clinician a shared list of upcoming work.

Permit check

Review the asset permit and its expiry before work that requires a signed permit.

Service handoff

Attach work notes, calibration readings and parts to the same work order for the equipment.

Choose one treatment area and a few devices that already have service records. Enter the asset tags, locations and assigned technicians. Rehearse a maintenance task through completion and check that the clinician can find the work order from the device. Review a signed permit and one calibration reading with the people who use them. Expand only after the team agrees how to name locations and work types.

Keep the initial review close to a real operating cycle. Check an Active device, a due task, a Scheduled order and a permit whose dates the team can verify. Compare the work order with its signed log before changing it to Completed. If a task is Escalated or a permit is Expired, leave that state visible for the person resolving it.

See the [equipment service cycle](/medical-equipment-tracking/processes/equipment-service-cycle) and [implementation plan](/medical-equipment-tracking/implementation) for the handoffs to rehearse. The [data model](/medical-equipment-tracking/data-model) shows how the asset, technician and work records connect.
