What you can do

Identify the device before service

The Clinical Coordinator identifies each device by asset tag, name and location before scheduling work. Operating status distinguishes equipment awaiting activation, in use and withdrawn. The assigned technician links to a person record; a separate dated assignment explains responsibility for a particular period. When a device changes hands, the team can keep its service history under the same asset instead of opening a replacement record.

How the work is organized

  • Identify the device. Use the physical asset tag and working location to distinguish similar equipment. Record the device name and commissioning date when known.
  • Name responsibility. Select the assigned technician and record a dated technician assignment when that responsibility has a defined period or purpose.
  • Change operating state. The Clinical Coordinator reviews the device before marking it Active or Withdrawn. A withdrawn asset remains available for service review.

The Clinical Coordinator enters the tag, device name and location, then selects the person responsible for the equipment. A technician assignment can record the purpose and effective period separately. That keeps a change in responsibility visible without changing the device identity.

What to agree during setup

Confirm that the asset tag identifies one physical device and that location names mean the same thing to service staff and reviewers. Agree who changes an asset from Pending to Active and when Withdrawn means it must leave the working register. Agree how staff handle corrections so that an amended or cancelled record remains understandable. Use a pilot device and an ordinary clinician account to test the language before relying on the screen in daily work.

Check the handoff on an actual case

Take one device whose assigned technician has changed. Compare the asset record with the dated technician assignment. Ask the Clinical Reviewer to identify which equipment is Active and where it is located. Confirm that a Withdrawn device remains findable for service history. Ask the receiving role to find the record without a verbal explanation from the person who entered it. If a date, person or source link is ambiguous, resolve the naming rule with the team before opening a wider operating cycle.

What your team sees

  • Equipment by operating state — Find devices by tag, location, assigned person and operating status.
  • Equipment status board — Compare the same device identities across the operating states before changing an asset record.

Open the source record for the dates, status and linked evidence before changing the next record. Business Overview shows work order intake, current maintenance states and recent specialty evidence for a daily check.

Follow the work through

Follow the equipment service cycle to see how planning, service evidence and review fit together. The data model lists each record and its references. Use implementation to plan a small first cycle with real assets and users.
