What you can do
Plan the next maintenance task
A maintenance task names the work, due date, asset and assigned technician. Its status tracks whether work is open, under way, completed, escalated or cancelled. The Clinical Coordinator owns the plan; the Licensed Clinician can update the assigned task. Completion should carry a date so the next planning review can distinguish finished work from an old due item.
How the work is organized
- Plan against the asset. Enter the task description and due date under the equipment record. Assign the person who will do the work.
- Track the exception. Move an overdue or blocked item to Escalated when it needs attention; retain Cancelled for work the team decides not to perform.
- Record completion. Check the actual work order or service evidence before the task is marked Completed and its completion date is entered.
The Clinical Coordinator enters a task for the asset, sets its due date and names the technician. The clinician sees the assigned work and records progress. If a task needs attention beyond its planned date, its Escalated state keeps it visible while the team agrees the next action.
What to agree during setup
Agree what makes a task Open, in progress, Completed, Escalated or Cancelled. Decide who updates a due date and who records the completion date. Give each task a specific description so the assigned clinician can distinguish inspection, maintenance and follow-up work. Agree how staff handle corrections so that an amended or cancelled record remains understandable. Use a pilot device and an ordinary clinician account to test the language before relying on the screen in daily work.
Check the handoff on an actual case
Choose a device with a due task and another with an escalated task. Confirm the right technician can find each one. Compare the asset, due date and completion date on the task before closing it. A completed task should still explain what work was scheduled. Ask the receiving role to find the record without a verbal explanation from the person who entered it. If a date, person or source link is ambiguous, resolve the naming rule with the team before opening a wider operating cycle.
What your team sees
- Open maintenance tasks — Review due dates and assigned technicians for open, active and escalated work.
- My maintenance tasks — Let a technician find tasks assigned to their person record.
Open the source record for the dates, status and linked evidence before changing the next record. Business Overview shows work order intake, current maintenance states and recent specialty evidence for a daily check.
Follow the work through
Follow the equipment service cycle to see how planning, service evidence and review fit together. The data model lists each record and its references. Use implementation to plan a small first cycle with real assets and users.
