What you can do
Trace what was used and recorded
Parts and device identifiers both attach to a work order, but they record different evidence. Part usage shows what was consumed, including lot, quantity, unit and authorizing person. A device identifier preserves its type, UDI, recorded date and processing status. The Licensed Clinician enters these records so a reviewer can trace them to the service visit.
How the work is organized
- Record the part. Enter its name, lot, quantity and unit against the order. Select the person who authorized the usage.
- Record the identifier. Attach the UDI and identifier type to the same order, with a recorded date and current status.
- Check the outcome. Review a Rejected identifier separately from a Tested one. A part entry does not prove an identifier passed review.
A part usage entry includes the part, lot, quantity, unit, work order and authorizing person. A device identifier entry includes its type, UDI, recorded date, status and work order. Those details give the reviewer the evidence to trace what was used and which device identity was observed.
What to agree during setup
Agree how staff write part names, lot numbers and units. Make the work order the point of reference for both consumption and device identification. Decide who checks an identifier that is Rejected and who is authorized to record part usage. Agree how staff handle corrections so that an amended or cancelled record remains understandable. Use a pilot device and an ordinary clinician account to test the language before relying on the screen in daily work.
Check the handoff on an actual case
For a repair that consumed a part, compare the lot, quantity and unit with the work order. Check the authorizing person. Follow the identifier from Collected or Received to Tested, or inspect a Rejected entry without treating it as accepted equipment evidence. Ask the receiving role to find the record without a verbal explanation from the person who entered it. If a date, person or source link is ambiguous, resolve the naming rule with the team before opening a wider operating cycle.
What your team sees
- Device identifier review — Compare each identifier outcome with the work order that owns it.
- Signed work evidence — Compare the technician note with the part and identifier entries under that order.
Open the source record for the dates, status and linked evidence before changing the next record. Business Overview shows work order intake, current maintenance states and recent specialty evidence for a daily check.
Follow the work through
Follow the equipment service cycle to see how planning, service evidence and review fit together. The data model lists each record and its references. Use implementation to plan a small first cycle with real assets and users.
