What you can do

Keep the evidence under one order

The work log records what a technician did under a work order. A calibration entry records a measurement type, value, unit, date and recorder under that same order. These records answer different questions: the log describes the visit, while the reading preserves the measured result. The Clinical Reviewer compares them before the Clinical Coordinator closes the order.

How the work is organized

  • Write the work log. The Licensed Clinician records work performed and a log type under the correct order.
  • Keep the reading interpretable. Enter the calibration type, numeric value, unit and date, with the person who recorded it.
  • Sign and review. Check the work log before marking it Signed. A later Amended state needs review beside the original visit and its calibration entry.

The clinician records work performed, log type, signed date and status under the work order. Where calibration is performed, the reading has a type, numeric value, unit, calibrated date and recorder. Both records refer to the same work order, letting the reviewer check the measurement alongside the service note.

What to agree during setup

Agree which work types call for calibration and which work log types the team will use. Set a convention for the measurement unit and for amendments to signed notes. The reviewer needs to tell the original signed evidence from a later correction. Agree how staff handle corrections so that an amended or cancelled record remains understandable. Use a pilot device and an ordinary clinician account to test the language before relying on the screen in daily work.

Check the handoff on an actual case

Choose one completed visit with a signed log and a calibration reading. Compare the technician and recorder with the work order, then check the reading unit and calibrated date. If a log is Amended, confirm the team can identify that state during review. Ask the receiving role to find the record without a verbal explanation from the person who entered it. If a date, person or source link is ambiguous, resolve the naming rule with the team before opening a wider operating cycle.

What your team sees

  • Signed work evidence — Find signed or amended logs with their technician, order and signing date.
  • Work orders awaiting review — Open the parent visit to compare the log and any calibration readings.

Open the source record for the dates, status and linked evidence before changing the next record. Business Overview shows work order intake, current maintenance states and recent specialty evidence for a daily check.

Follow the work through

Follow the equipment service cycle to see how planning, service evidence and review fit together. The data model lists each record and its references. Use implementation to plan a small first cycle with real assets and users.
