What you can do
Compare service and receipt records
Service history records a description, amount and billing state under a work order. A service cost entry records a received amount, date, reference and confirmation state under an asset. Because the records have different parents, the team checks the work order’s asset before comparing them. Clinical Coordinator manages service history; Admin handles the cost review and confirmation decisions.
How the work is organized
- Describe the service. Link the history entry to the completed work order and record its description and amount.
- Review the billing state. Inspect a Draft entry before marking it Approved. Keep Invoiced and Voided distinct when following up.
- Confirm the receipt. Match the cost entry’s asset, amount, received date and reference to the source record before marking it Confirmed. Keep Refunded visible.
Service history describes a service under its work order, with an amount and billing state. A service cost record names an asset and includes the amount, received date, reference and confirmation state. The two records answer different questions, so staff should compare their source links before treating them as the same financial event.
What to agree during setup
Agree who enters the service description and amount, who reviews Draft history, and what Approved, Invoiced and Voided mean for the team. Reconcile received amounts and references against the asset before confirming a cost entry. Agree how staff handle corrections so that an amended or cancelled record remains understandable. Use a pilot device and an ordinary clinician account to test the language before relying on the screen in daily work.
Check the handoff on an actual case
Use a completed work order with an Approved history entry and a cost record marked Pending. Review the amount, asset and reference. Confirm the cost only after the team has checked the received payment evidence; keep a Refunded entry visible during later review. Ask the receiving role to find the record without a verbal explanation from the person who entered it. If a date, person or source link is ambiguous, resolve the naming rule with the team before opening a wider operating cycle.
What your team sees
- Service history awaiting approval — Review draft descriptions and amounts under their work orders.
- Service payment confirmation — Compare pending, confirmed and refunded entries by asset and source reference.
Open the source record for the dates, status and linked evidence before changing the next record. Business Overview shows work order intake, current maintenance states and recent specialty evidence for a daily check.
Follow the work through
Follow the equipment service cycle to see how planning, service evidence and review fit together. The data model lists each record and its references. Use implementation to plan a small first cycle with real assets and users.
