What you can do
Follow the service visit
A work order connects a service visit to one asset and one technician. The Clinical Coordinator records when it was requested, when work started and when it finished. Status separates scheduled visits, arrival, work in progress, review and completion. The clinician records the evidence under the order, so the reviewer can inspect the same visit before the coordinator closes it.
How the work is organized
- Schedule the visit. Select the asset, technician and work type, then record the requested date.
- Follow the work. Keep arrival and work in progress distinct. The start date belongs to the actual service, not the date the order was requested.
- Hand off for review. Move the order to awaiting review once its logs and any calibration or part records are ready. Complete it only after the reviewer has inspected the linked evidence.
The Clinical Coordinator opens work for an identified asset and technician, then follows the visit through arrival and active service. The clinician records work performed against that work order. Once evidence is ready, the coordinator marks the order awaiting review and the reviewer inspects the connected records.
What to agree during setup
Agree the meaning of Scheduled, Arrived, in progress, awaiting review, Completed and Cancelled. Decide who records arrival, who checks the service evidence and who enters the completed date. Keep the asset and technician on the work order so the visit is not detached from the equipment. Agree how staff handle corrections so that an amended or cancelled record remains understandable. Use a pilot device and an ordinary clinician account to test the language before relying on the screen in daily work.
Check the handoff on an actual case
Rehearse a work order whose technician arrived, made a calibration reading and signed a work log. Check that the same work order links the reading and log. Confirm its completed date reflects the finished service rather than the scheduling date. Ask the receiving role to find the record without a verbal explanation from the person who entered it. If a date, person or source link is ambiguous, resolve the naming rule with the team before opening a wider operating cycle.
What your team sees
- Work orders in progress — Find scheduled, arrived and active visits by asset and assigned technician.
- Work orders awaiting review — Open service visits whose evidence needs a reviewer before closure.
Open the source record for the dates, status and linked evidence before changing the next record. Business Overview shows work order intake, current maintenance states and recent specialty evidence for a daily check.
Follow the work through
Follow the equipment service cycle to see how planning, service evidence and review fit together. The data model lists each record and its references. Use implementation to plan a small first cycle with real assets and users.
