What you can do

Explain employee pay before approving the cycle

A pay run brings the calendar, period boundaries and pay date together. Payroll Specialist opens the Draft cycle and checks its country, currency and run type. Calculation selects eligible employees and their effective compensation, creates the employee pay items and expands the earnings and deductions into detailed lines. Those lines explain how the run reaches its stored totals.

Payroll Manager needs that explanation before deciding approval. A change in net pay might come from a new salary, different approved hours or a deduction. Payroll Specialist follows the affected employee item to its source and resolves the difference. Finance reads the same payroll context when the settled cycle later produces its journal.

How the work is organized

  • Calculation context. Match the pay calendar and period end to the employee’s dated compensation. Use the intended regular, off-cycle, bonus, correction or year-end run type, and rehearse its result with the people responsible for that cycle.
  • Employee detail. Compare gross pay, taxable wages and withheld taxes with the earning and deduction lines. Keep employer taxes and benefits separate from amounts deducted from employee pay. Reconcile the employee results to the run totals.
  • Review and decision. Payroll Specialist investigates held items and records an understandable reason. The reconciled run moves to Reviewed for Payroll Manager. An internal approval notice requests the decision; the actual approval is recorded separately with its owner and date.

What to agree during setup

Choose a pilot calendar and independently checked results for the employees in it. Include a dated salary change and an hourly calculation if the business uses both. Payroll Admin checks the earning and deduction codes with the payroll owner, including the jurisdiction references and account targets.

Agree the permitted way to record Payroll Manager’s decision. Keep preparation responsibility with Payroll Specialist and make the decision owner visible to the reviewer. Decide how a held employee item is handled before approval and payslip generation, then rehearse that treatment. The team should know how to resolve the case and which result it must review again after a source correction.

Check the handoff on an actual case

An employee’s net pay is lower than the previous cycle. Payroll Specialist follows the selected compensation and compares the detailed earnings, taxes and benefit deductions. The new benefit election explains part of the change, but a disputed earning remains. Put the item on Hold with the reason so Payroll Manager can see the unresolved work.

After the source owner resolves the earning, review the resulting calculation and reconcile gross, tax and net totals again. Present the run as Reviewed only when its employee amounts have an explanation. Payroll Manager checks Pending Pay Run Approvals and records the decision through the agreed route.

For the pilot, stop after the approval notice and verify that the run still awaits a decision. Then record approval and inspect the payslips generated for that run. Repeat the calculation rehearsal on a test cycle and compare its children so repeated execution and neighboring runs cannot conceal a duplicated or misplaced amount.

What your team sees

  • Open Pay Runs — Follow cycles in preparation, calculation, review and approval.
  • Pending Pay Run Approvals — Review the cycle’s totals and approval note with Payroll Manager.
  • Pay Run Holds — Investigate employee exceptions using the selected compensation and hold reason.

Follow the work through

Use review to payslips, then settlement to posting. The data model shows the links behind each result.
