AI agent

Ask Proto to prepare the handoff

Ask Proto to help configure and inspect production work with human review.

It can

  • Project Coordinator: Prepare a package checklist from its tasks, due dates and shoot day before submitting it for review.
  • Project Reviewer: Gather the current package revision, attachments and task completion details for the review step agreed during setup.
  • Auditor: Follow a failed operation receipt to its source package and linked evidence.

Stays with a person

  • Proto can organize source records and prepare a handoff, but the team decides during setup who reviews package acceptance and submitted shoot days, and which record holds the outcome.
  • Check the current revision and source records before updating a status.
  • External results need confirmation from their owning system.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Identify the production

Create the organization, project and team member records the first operating cycle needs. Confirm codes, time zone, currency and the project contact.

  2. Prepare one package

Set a subject, owner, due date and budget hours. Add tasks and a shoot day linked to that package.

  3. Rehearse review

Attach evidence with the right visibility and agree who reviews the current revision and which record holds the decision. Follow the package status in the operations view.

  4. Expand carefully

Add more packages once the team agrees on ownership, task-hour entry, call sheet revision naming and exception handling.

FAQ

Questions, answered

Scope, rollout and pricing for Film Production PM.

All questions
How do I get started?

Click Get started, then use Proto to configure PM for Film Production for your business. Pilot one production, a work package, its tasks and a submitted shoot day before expanding.

What is a work package?

It is a bounded unit of production work with a project, owner, due date, budget hours and lifecycle status. Tasks, shoot days, attachments and decisions refer back to it.

Can I compare planned and actual effort?

Yes. Tasks carry planned and actual hours, and the package carries budget hours. Operations Overview compares task hours by project.

How do shoot days relate to packages?

Each shoot day links to its parent package and organization. It records a date, location, planned hours, call sheet revision and review status.

Who reviews a call sheet?

A Project Reviewer examines the submitted shoot day revision and supporting package evidence. Project Coordinator records its status and decision date. Keep the decision date and current revision visible during handoff.

Can I keep some evidence internal?

Yes. Record attachments have Internal and Shared visibility choices. Choose deliberately when uploading each item.

How is a package accepted?

The coordinator presents completed tasks and evidence for the current package revision. During setup, agree who reviews that revision and where to capture the decision and reason before acceptance.

What appears on Operations Overview?

Package health, pending decisions, planned versus actual task hours, overdue open tasks and an exception queue linked to source records.

What happens when an operation fails?

Its receipt keeps the action, operation key, expected revision, result and failure reason. A reviewer can compare it with linked effects and keep a discrepancy visible.

Where do invoices and payroll live?

Connect the finance and payroll systems your company uses. This workspace records production scope and hours for that handoff.
