Ask for the records behind the update

Help your team inspect delivery records and prepare routine updates.

It can

  • Delivery Lead: Show Active and at risk projects with owners, end dates and missed milestones.
  • Project Manager: Find Blocked tasks, open risks and their owners before the delivery meeting.
  • QA Engineer: Find Open issues that need severity before triage and fixed issues awaiting verification.
  • Team Member: Show assigned work and time entries still Submitted.

Stays with a person

  • A person decides whether a delivery subject is Approved, Rejected or Returned.
  • The agent can prepare the record and explain the status, while the Reviewer makes the decision.
  • The project owner decides whether a schedule warning changes the project status.
  • Check the source record and operation receipt before treating a workflow attempt as completed.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Prepare people and organizations

Enter the organizations and active team members who will own the first project.

  2. Plan a pilot project

Add its owner, budget and dates, then create packages, tasks and milestones.

  3. Exercise exceptions

Raise an issue with severity, add a risk with mitigation, and follow a blocked task and missed checkpoint.

  4. Rehearse review and time

Submit a valid time entry, inspect the decision and receipt, and have a Reviewer decide on a delivery subject.

  5. Open the operating cycle

Agree the meeting cadence and who updates each status, date and estimate.

FAQ

All questions
How do I get started?

Click Get started, then use Proto to configure Product Roadmap Tool for your business. Begin with one project, its owner, work packages, tasks and next milestone.

How do we organize a project?

Connect it to an organization, name an owner and enter the budget and dates. Group the work in packages, then assign tasks.

Can I see work by status?

Yes. Task Board by Status shows Backlog, in progress, in review, Blocked and Done tasks. Tasks In Flight focuses on work under way or in review.

How do we track a checkpoint?

Create a milestone with a project, owner and due date. Mark it Met or Missed after the outcome is known.

What happens when an issue is raised?

Give an Open issue severity. Issue Triage moves a valid issue to Triaged and writes an operation receipt. The failed attempt is recorded if severity is missing or the issue is no longer Open.

How do we follow risks?

Record probability, impact, mitigation and owner on the project risk. Review Open and Monitoring risks before the next checkpoint.

How are hours approved?

A team member submits a time entry with positive hours. Time Entry Approval checks the entry, records a decision and receipt, and approves a valid submission.

Where do review decisions live?

The Reviewer records the subject reference, decision, date and notes on the review decision. Attachments can identify a related delivery record.

How do we prepare a stakeholder update?

Start from the project status and dates, then inspect the task, milestone, issue, risk and hour records behind them.
