What you can do
Check free stock before posting the issue
Each material issue links item and work order with lot number, quantity, issue date and status. Each stock balance holds on-hand quantity and reserved quantity by item, location and lot number. Production Operator uses the material posting action to post the exact Draft issue only after the eligible same-unit balance can cover the requested quantity.
The stock decision depends on the specific balance. A matching item name on another location or lot cannot supply evidence for the intended withdrawal. Free stock is on-hand quantity minus reserved quantity. The reserved amount remains protected even when the on-hand total looks large enough for the run.
How the work is organized
A successful guarded action changes the material issue status from Draft to Posted and decrements the resolved balance once. The workflow validates the authenticated actor through the staff record’s linked user account and the exact issue identity before creating that effect. Insufficient free stock rejects the posting.
- Material context. The item record supplies item code, item type and unit for the referenced material or component.
- Exact balance. Select eligible stock with the required item, location and lot basis before checking free quantity.
- Posting control. Use the material posting action for the quantity effect; record editing must not bypass its checks or decrement stock again.
What to agree during setup
Agree how each draft issue identifies the intended stock location and lot for posting. Rehearse the resolved balance with the operator before the first live withdrawal. If several balances could match, keep the action blocked until the operating configuration identifies the correct eligible balance.
Define the same-unit basis using the item’s unit and reconcile opening on-hand quantity and reserved quantity before the pilot. Purchase orders and purchase lines provide supplier order context through customer and supplier records and items. Agree the supplier-order connection and receiving ownership during setup so the production team knows which source maintains incoming supply.
Check the handoff on an actual case
An operator prepares a Draft material issue for a released work order. The selected lot has on-hand stock, but much of it is reserved. The requested quantity exceeds the free balance. The material posting action must reject posting and leave the issue and balance unchanged, so the planner can resolve the shortage.
Repeat with a quantity within the same eligible balance’s free stock. Confirm the issue becomes Posted and the exact balance decreases by the accepted quantity. Retry the same action and verify that it cannot decrement stock again. Inspect another location and lot to confirm that neither changed.
Rehearse an item with a different unit and a lot that cannot be resolved. Keep the failure visible instead of taking stock from a convenient alternate balance. Preserve accepted posting evidence while resolving a mistake. Agree the correction owner and reconcile the affected balance before further withdrawals.
What your team sees
Configure the posting and review views separately:
- Material issues to post — Check the draft issue, work order, item, lot and quantity before the guarded action.
- Stock by item and lot — Compare on-hand and reserved quantities for the exact balance under review.
- Open purchase orders — Let authorized planning and review accounts inspect outstanding supplier-order context.
Follow the work through
Material issue to production log tests the stock handoff. Reconcile opening balances in implementation and review external supply ownership under integrations.
