Ask Proto about the next item to review

Ask Proto for help reviewing bookings, assigned work and usage outcomes.

It can

  • Project Manager: Show active bookings ending soon and pending confirmations for an owned engagement.
  • Delivery Lead: Find blocked assigned items and open conflicts for a booking, with their owners.
  • Team Member: Show my assigned work and my submitted usage entries.
  • Usage Reviewer: Show approved usage and failed attempts with their booking and work context.

Stays with a person

  • The assistant can help locate records and prepare a review.
  • A person still reviews the recorded usage outcome and decides whether an engagement is ready to complete.
  • Confirm the booking and person before changing a record.
  • For an exception, read the current status and receipt before repeating an action.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Set ownership

Choose the Project Manager, Delivery Lead, Team Member and Usage Reviewer for the first booking. Confirm the organization and team member records.

  2. Load a booking

Enter the agreed schedule, budget context, work groups, assigned items and dated confirmations.

  3. Rehearse exceptions

Raise a conflict with severity, check triage and the receipt, then test a missing-severity case. Add a constraint with an owner and mitigation.

  4. Rehearse usage

Submit positive hours for an assigned item and inspect the approval decision and receipt. Test an invalid-hours attempt.

  5. Review completion

Compare the booking’s end date, work states, time and checkpoints before deciding whether it can be completed.

All questions
How do I get started?

Click Get started, then use Proto to configure Resource Booking System for your business. Start with one dated delivery booking, its organization and owner, a small set of assigned work, and a real usage approval case.

What is a booking here?

A booking is a dated client or internal delivery engagement. It carries the organization, owner, type, budget and delivery state that connect its work and follow-up records.

How is work assigned?

Create a work group under the booking, then add individual assigned items with a person, due date and reserved hours. The team can follow those items in the in-flight and board views.

Can a team member record time?

Yes. A team member records a work date, hours and booking on a usage entry, and can connect it to an assigned item. Submitting the entry starts the approval check.

What happens when hours are submitted?

The approval workflow checks positive hours and the submitted state. A valid entry becomes approved and leaves a review decision and operation receipt. The Usage Reviewer inspects the outcome and follows up on failed attempts.

What happens if hours are invalid?

An approval attempt with hours that are not positive is blocked and leaves a failed operation receipt for follow-up.

How do we follow a raised issue?

Record a conflict against the booking with severity and an owner. The triage action moves an open, classified issue into triaged follow-up and records its result.

How are delivery risks tracked?

Record a constraint against the booking with category, probability, impact, mitigation and an owner. Review open and monitored constraints while the booking is active.

What should we check before completion?

Review assigned work, submitted time, pending confirmations and open exceptions against the booking end date. The Project Manager then records the booking state that matches the outcome.
