Ask Proto to prepare the review

Ask Proto to prepare schedule, billing and variance reviews.

It can

  • Revenue Accountant: Find active schedules for a customer and compare dates, method, recognized amount and deferred balance.
  • Billing Operations Manager: Prepare a billing run review from linked invoices, counts, totals and validation notes.
  • FP&A Analyst: Explain a cost center variance from the plan lines behind Budget vs Actual.
  • Finance Approver: Gather the plan, source lines, prior decisions and evidence before a human approval.

Stays with a person

  • A person decides whether a plan should be approved and whether a billing run is ready to advance.
  • Proto can present the related amounts and evidence for that decision.
  • The team still reconciles the contract, bank and ledger sources it owns.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Define the scope

Choose an organization, billing period, representative customers and products, and the people who own each decision.

  2. Load reference records

Bring in customer, product, person and organization identifiers with the correct ownership.

  3. Prepare schedules and invoices

Create dated revenue schedules and link relevant invoice lines to them. Reconcile the customer and service periods.

  4. Rehearse billing

Build a Draft billing run, validate it and post it. Inspect the operation receipt for each transition and a refused repeat.

  5. Rehearse plan review

Enter budget lines and actual amounts, inspect Budget vs Actual, then approve an InReview plan and review its decision and receipt.

All questions
How do I get started?

Click Get started, then use Proto to configure Revenue Recognition for your business. Begin with one organization, one billing period, a customer schedule and a billing run you can reconcile.

What does a revenue schedule record?

It keeps the customer, product, contract reference, dates, recognition method, total, recognized to date and deferred balance together.

Can a billing line point to a schedule?

Yes. An invoice line can reference a revenue schedule and carries its own product and service period for review.

How does a billing run move forward?

Billing Operations Manager uses Advance Billing Run to validate a Draft run, then to post a Validated run. Each outcome has an operation receipt.

Where do I see schedules needing attention?

Schedules On Hold shows held schedules and their reasons. Active Revenue Schedules shows the current recognition work.

How are plan approvals recorded?

Approve Plan moves an in review plan to Approved and writes a review decision and an operation receipt.

Can I inspect a cost center variance?

Budget vs Actual ranks cost center differences and opens the plan lines behind the total.

How do I follow an unpaid invoice?

Open Invoices and Overdue Invoices show the customer, due date, amount paid and balance due. Related payments show receipt status and reference.

Where are supporting documents kept?

Evidence Documents link a titled file, kind, uploader and date to its parent record.
