What you can do
Routes and assignments
Each load can hold route stops with sequence, address, planned window and actual arrival and departure. An assignment connects the load to a driver and vehicle for a start and end interval. Dispatch can compare these records with the promised delivery date before the load leaves.
The driver record carries active state, eligibility date and external authority. The vehicle carries equipment class, capacity, active state and readiness. Vehicle defects retain severity, repair evidence and release date. These are the records the team checks before treating an assignment as ready for dispatch.
How the work is organized
- Sequence the stops. Enter pickup and destination windows against the load.
- Check the driver. Compare the assignment interval with active state and eligibility date.
- Check the vehicle. Match equipment class and readiness before confirming the pairing.
What to agree during setup
Agree who maintains driver eligibility, fleet readiness and the external authority identifiers. Confirm the meaning of a held vehicle and the evidence required before it returns to ready. A route stop should represent a real planned handoff, with actual times entered when the movement occurs.
Before confirmation, compare the assignment interval with the route and the intended equipment class. A driver whose eligibility has passed or a vehicle held for a defect needs a different plan. Keep the original assignment status visible when a replacement is arranged.
Check the handoff on an actual case
Consider a load with an afternoon pickup and a next-day delivery. Dispatch enters both stop windows, assigns a driver and vehicle, and checks the equipment class against the load. If a critical defect is reported before departure, the vehicle remains held while a different ready vehicle is considered. Actual stop times later show whether the route met its window.
The App Administrator reviews the defect and repair evidence before releasing that vehicle for use. The Dispatcher keeps the held assignment visible while choosing a ready replacement. After movement, actual arrival and departure stay beside the original stop windows for the Transport Supervisor to inspect.
If the replacement vehicle has a different equipment class, compare it with the class recorded on the load before confirming dispatch. The assignment’s start and end times should still cover the planned stops; changing a vehicle alone does not repair a timing conflict.
What your team sees
- Assignment schedule — Read assigned driver and vehicle intervals alongside status.
- Driver eligibility — Check active drivers and their eligibility dates.
- Active equipment — See readiness and capacity for active vehicles.
Follow the work through
Read the operating process and the related handoff. Set up roles and rehearse the case in implementation.
What it keeps track of
Data model- Load stops
- Captures one stop on a load's route, tracking planned times against what actually happened.
- Load assignments
- Assigns a driver and vehicle to a load, so dispatch knows who's hauling what and when.
- Loads
- Represents a freight shipment, tracking its pickup, delivery, and billing from start to finish.
- Drivers
- Represents a driver, so dispatch can check who's active and eligible to run a load.
- Vehicles
- Represents a truck or trailer, so dispatch can check its capacity and readiness before assigning it.
- Vehicle defects
- Tracks a problem found on a vehicle so the team can confirm it's fixed before returning to service.
Who uses it
Permissions- Dispatcher
- Coordinates the load.
- App Administrator
- Maintains driver and vehicle records.
- Transport Supervisor
- Checks assignments and readiness.
