What you can do
Give each stock action a durable request
Stock Requests hold the subject, record number, organization, owner, item, location and counterparty for proposed work. The requested units, base unit and required date give the team enough context to discuss timing and quantity. A revision and status make it possible to distinguish the request being reviewed from an earlier draft. Inventory Coordinator prepares assigned work; Inventory Reviewer makes an independent decision on the submitted revision.
The same request structure supports receive, move, reserve and recall work. The subject explains the operating purpose. Reviewers should still inspect the referenced item and location rather than infer them from a title. Once a decision is recorded, the decision’s source revision should match the request that was presented. If the request changes, the team needs another review of the changed revision.
How the work is organized
- Preparation. A coordinator records the item, quantity, due date, organization and relevant locations while the request is Draft.
- Decision. An independent reviewer records approval, rejection or return with a reason for a specific revision.
- Effect. Executed work is followed through receipts, movements, reservations or recall scopes linked to the request.
What to agree during setup
Decide how record numbers are assigned and how subjects distinguish a receipt from a move, reservation or recall. Agree which person owns each request and when it is ready for review. Identify the evidence a reviewer needs for each kind of work. The status vocabulary should be clear to every operator: Draft is preparation, Review awaits a decision, Approved is a reviewed request, and Executed indicates completed work.
Use a pilot request with a required date and an item stored at a named location. Ask a coordinator to prepare it and a different reviewer to inspect it. Record what happens when the quantity or location changes after submission. The review decision must describe the version considered, so the team can avoid treating an old approval as a decision on new work.
Check the handoff on an actual case
A warehouse needs to move an item from a staging area to another storage location. Inventory Coordinator prepares a request with the item, quantity, location, counterparty and required date. Inventory Reviewer examines the submitted revision and adds a decision reason. The coordinator then follows the approved request through its operation receipt and signed stock movement. If the receipt needs review, the team sees the exception without assuming the request reached its intended stock effect.
