What you can do
Keep operating responsibility clear
Organizations holds the freight organization name, code, active state, time zone and currency. Team members links staff to an organization and user, with a role name and time zone. Loads and route proposals also carry organization references. This gives dispatch and review a common scope for a load instead of relying on a name typed into notes.
How the work is organized
- Organization identity. Code and name distinguish the freight organization that owns the work.
- Member scope. Each team member links to an organization and a user account.
- Partner directory. transport partners holds carrier name, code, active state, contact, address and eligibility note.
App Administrator maintains the organization, member, driver, vehicle and partner records. Dispatcher uses those records when preparing a load and assignment. Transport Supervisor reviews within assigned scope. Auditor reads authorized evidence and reports. The Users record carries email, role and Pending or Active account status for access administration.
What to agree during setup
Start with the organizations that will actually operate loads. Confirm their time zones before entering promises and assignment intervals. Review the user and team member links so one person is not accidentally represented by another person’s record. Agree which partner records are active and what eligibility note a dispatcher must read before selection. Decide who can change an organization’s active state or a team member’s role scope.
For a first cycle, create an organization, a small team and an eligible transport partner. Assign a load owner who belongs to that organization. Open the same load as Dispatcher, Transport Supervisor and Auditor and check each person’s intended access. The review role should see the candidate and evidence needed for an independent decision. The auditor should see the final trail without being able to change it.
Check the handoff on an actual case
A partner changes its primary contact before a load is planned. App Administrator updates the partner record and confirms it remains active. Dispatcher selects that partner for a new load and assigns a team member as owner. The organization on the load and proposal agrees with the team member’s scope. When Transport Supervisor reviews the route, the decision is attributed to the reviewer linked through team members. Later, Auditor can identify the organization, partner and people behind the completed movement.
