What you can do

Keep the finding attached to the vehicle

A defect needs enough context for Maintenance Coordinator to decide what happens next. The record identifies the vehicle, originating inspection and severity, with a description and responsible owner. Open, In Repair, Repaired and Deferred describe different situations. Moving a record to Deferred leaves work to resolve; it is not evidence that the condition has been repaired.

Inspector starts the handoff with the observation. Maintenance Coordinator checks the description, takes responsibility for repair follow-up and keeps Dispatcher informed of the vehicle’s condition. A Critical finding matters even when the latest inspection says Pass with defects. Review both the inspection and the unresolved defect before using the vehicle on another load.

How the work is organized

  • Keep a clear origin. Link the defect to its inspection and vehicle. A later reader should be able to find the observation that started the work without searching through unrelated trip notes.
  • Assign responsibility. The owner gives the maintenance team a person to contact. Use the description to explain the condition and review the severity when new evidence changes the understanding of the fault.
  • Record the disposition. Follow progress from Open into In Repair and then Repaired when the work supports that result. Keep Deferred visible for follow-up rather than treating it as a completed repair.

What to agree during setup

Define who assigns severity, who updates repair progress and how Dispatcher hears about a condition that changes vehicle readiness. Agree which team member owns a finding when work moves between shifts. Changing ownership should not erase the inspection reference or leave the next person unable to explain the repair.

Prepare examples of a minor finding, a critical fault and a deferred item. Agree how supporting photographs and repair documents are named and matched to the defect. A recorded repair and the vehicle’s readiness are related decisions: review the latest pre-trip inspection as well as the remaining findings before the next assignment. Establish the handoff with any outside workshop as a separate connection during setup.

Check the handoff on an actual case

Unit V-214 has a Critical brake defect and a Minor interior trim defect. Maintenance Coordinator moves the brake finding into In Repair and leaves the trim finding Open with its own description. Dispatcher can see which condition affects release without merging the records into an ambiguous overall note.

When the brake work is completed, Maintenance Coordinator marks that defect Repaired and asks Inspector to record the relevant vehicle check. The trim finding remains visible until its own disposition is recorded. Rehearse a deferred Critical finding as well: the label Deferred must not be used as a shortcut to make an unrepaired fault acceptable for assignment. Review the case with the maintenance owner and the person responsible for dispatch.

What your team sees

  • Open Defects — Find unresolved findings with their severity, inspection and owner.
  • My Defect Work — Review findings assigned to the signed-in maintenance team member.
  • Defect Repair Board — Follow the repair disposition without losing the vehicle context.

Follow the work through

Use inspection to repair for the maintenance handoff and load review to assignment for the next dispatch decision. Review the responsibility split on the roles page.
