What you can do

Make the inspection useful at dispatch

Inspector records the check against the actual vehicle and driver and enters the inspector’s name. The inspection carries its type, time, odometer and checklist observations, followed by a result of Pass, Pass with defects or Fail. A short description of the observed condition gives the next person something to investigate. The result needs to be understandable when the vehicle returns for another trip or a different Dispatcher takes over.

A pre-trip check informs assignment readiness. A post-trip check records the condition after use and can start repair follow-up before the next departure. Keep these observations separate so a later post-trip result does not get mistaken for the latest pre-trip decision. Use Operations Overview to follow the relevant exception into its linked records.

How the work is organized

  • Capture the actual observation. Inspector enters the checklist detail and identifies the vehicle, driver and inspection time. Record what was checked and what needs attention in language Maintenance Coordinator can act on.
  • Distinguish the result. Pass with defects keeps the finding visible. A Fail result requires resolution before the vehicle can qualify for the assignment checks.
  • Link the follow-up. A defect record carries its inspection reference, vehicle and severity. Maintenance Coordinator can then follow the repair without replacing the original inspection notes.

What to agree during setup

Agree the checklist wording for each vehicle type and decide who may correct an inspection entry. Define how the team records Minor, Major and Critical findings. Use the inspection time consistently when deciding which pre-trip result is latest, and agree how to handle an unclear or tied timestamp before releasing work.

Prepare examples from ordinary vehicle checks, including a clean result and a finding that needs a mechanic. Decide where photographs belong and how the team identifies the record they support. The checklist text should distinguish an item checked with no finding from an item that still needs attention. Review the wording with the people who perform the check in the yard.

Check the handoff on an actual case

A driver reports a brake concern on unit V-214 before the morning departure. Inspector records a Pre-trip result of Fail and explains the condition. Maintenance Coordinator links the defect to that inspection and assigns repair responsibility. Dispatcher can identify the affected vehicle without interpreting an unrelated photo or a note from a previous trip.

After the repair, capture the new inspection observation and review the defect status. Dispatcher compares the latest pre-trip result with the unresolved defect queue before choosing the unit again. Rehearse the case with an older Pass result still present: the earlier result must not become the basis for releasing the vehicle while the newer failure remains relevant.

What your team sees

  • Inspection Results — Review checks by vehicle, inspection type and observed result.
  • Pre-trip Exceptions — Find failed checks and findings that need attention before assignment.

Follow the work through

Inspection to repair follows the defect into maintenance. Load review to assignment explains how the inspection affects release. Agree the pilot checklist in the implementation plan.
