What you can do
Give the reviewer a complete load
Dispatcher prepares the load with its origin, destination and planned travel dates. The subject, lane and requested units explain the work, while the operating organization and partner identify the parties involved. The owner gives Operations Manager a person to contact when a detail needs correction. Move the load from Draft to Review when it is ready for a decision.
Operations Manager decides whether the reviewed work can proceed. Record the decision and rationale against the load and its revision so later readers know what was considered. An Approved load can move toward assignment, but approval does not establish that a particular vehicle is ready or that a driver is free. Those checks belong to the resource selection that follows.
How the work is organized
- Prepare a reviewable request. Dispatcher checks both endpoints and the planned departure and arrival. Keep the revision aligned with the information Operations Manager is reviewing.
- Record the human decision. Operations Manager approves, rejects, returns or escalates the review with a reason. Approved and Rejected load outcomes remain distinguishable from the decision record itself.
- Check the chosen resources. Before assignment, review the latest pre-trip inspection, unrepaired Critical defects and existing Assigned or Active commitments for the driver and vehicle. Select an appropriate powered unit when the work requires one.
What to agree during setup
Name the people who may prepare a load and those who may approve it. Agree what happens when a destination or requested scope changes after review. Review the source record and revision together rather than treating a previous decision as permission for any later version of the work.
Define the operating handoff for conflicting assignments and unresolved inspection findings. Decide who contacts maintenance when a selected vehicle fails a check and who proposes a replacement. Review the load’s pickup and delivery stops before dispatch, keeping the intended endpoints clear. A repeated request should be checked against existing work before anyone adds another stop or reservation.
Check the handoff on an actual case
Dispatcher prepares a depot-to-customer load and requests review. Operations Manager approves the stated origin, destination and travel plan with a recorded rationale. The intended vehicle’s latest pre-trip inspection is Pass with defects, but a Critical defect remains In Repair. Dispatcher keeps that unit out of the assignment and consults Maintenance Coordinator.
The replacement vehicle passes the inspection review, but its driver already has an Active assignment. Choose an available combination and review it again. Rehearse the case with the driver conflict removed and the vehicle conflict still present: each resource needs its own check. A load approval cannot settle a reservation conflict or turn a trailer into the powered unit required for the trip.
What your team sees
- Loads Awaiting Approval — Review loads awaiting the Operations Manager’s decision.
- Draft Load Inbox — Prepare requests before submitting them for review.
- Assignment Board — Compare proposed and committed driver and vehicle combinations.
Follow the work through
Load review to assignment covers the decision and resource checks. Continue with dispatch to delivery after the assignment is ready. Confirm decision rights on the roles page.
