What you can do

Give the loading decision a physical reference

A planned quantity does not tell the Transport Supervisor what is inside the truck. Dispatch Coordinator records the dock, loading time, loaded pallets and seal number on the loading check. Link the check to the correct load and operating organization before submitting it. The supervisor can then compare the dock evidence with the planned work and assigned equipment.

Use the seal number exactly as observed. A transposed character can leave the receiving team comparing a different seal with the paperwork. Keep the loading time separate from the later departure event so staff can explain when the cargo was checked and when the truck actually left.

How the work is organized

Loading checks move from Draft to Submitted for a decision. Transport Supervisor records approval or rejection against the revision being reviewed. An Approved check supports release preparation; Completed records the later operational handoff.

  • Capture the physical result. Enter the dock and loaded pallet quantity after the floor check. Keep the quantity basis consistent with the agreed plan.
  • Present the current seal. Compare the observed seal with the supporting photo or document. Attach evidence to the same load so the reviewer can find it.
  • Record the decision. Transport Supervisor reviews the submitted revision, records a rationale and confirms the decision time. Rejected work returns to the team for investigation.

What to agree during setup

Agree which dock names the team will use and how seal references are read back. Decide what evidence the supervisor needs before approving a load, including the response to a damaged seal or a changed pallet quantity. Assign a reviewer who can inspect the work independently from its preparation.

Define how a corrected loading check is presented for another decision. Keep the earlier decision available and make the changed revision clear. Establish when Dispatch Coordinator marks an approved check Completed, using the actual handoff rather than the end of a shift as the reference.

Check the handoff on an actual case

A truck is loaded at the west dock and the check is Submitted. Before departure, the team discovers a damaged pallet and unloads it. The loaded quantity and seal now need attention. Dispatch Coordinator updates the loading evidence and presents the changed revision to Transport Supervisor.

The supervisor checks the revised quantity against the load request, examines the replacement seal and records the decision on that version. The driver receives the details associated with the approved physical load. An earlier approval remains part of the history, but the team must be able to identify which decision covers the truck now at the door.

During rehearsal, ask the next shift to find the final seal and explain the quantity change using the load’s evidence. If they cannot distinguish the earlier check from the accepted revision, settle that handling before using the process on live departures.

What your team sees

  • Checks awaiting approval — Submitted checks with their dock, seal and loaded quantity ready for supervisor review.
  • Loading check board — Loading checks grouped by status so staff can follow rejected and completed work.

Follow the work through

Follow plan to loading approval for the decision, then dispatch to delivery for the departure handoff. Agree the access boundary in roles and permissions.
