Prepare the next action with Proto

Ask Proto to prepare operating information while people retain their decision authority.

It can

  • Inventory Clerk: Show my active loads and the trailers waiting for a dock decision before the next shift begins.
  • Transport Supervisor: Prepare the submitted yard visits with their trailer, parking position and current review evidence.
  • Inventory Supervisor: Explain failed reconciliation results using the authorized request and posted movement quantities.
  • Auditor: Trace a load's dock decision to its reviewer, source revision and operation receipt.

Stays with a person

  • Proto uses the acting person's permissions.
  • It cannot replace the independent Transport Supervisor decision, approve the creator's own visit or treat an old revision as current.
  • It must not report completion while the authorized dock effect is unresolved.
  • Physical arrival, repair release and recipient proof come from the people or connected systems responsible for those facts.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the yard boundary

Select the organization, parking area and dock work for the pilot. Identify the Inventory Clerk and independent Transport Supervisor on each shift, plus the Inventory Supervisor responsible for stock scope.

  2. Map the operating records

Match load numbers, trailer identifiers and partner locations. Confirm driver and vehicle codes, item base units and the stock-request references used in evidence records. Follow the dependency order in the data model.

  3. Configure the pilot

Prepare the load board, assignment schedule and submitted-visit review queue. Agree the physical dock evidence, reservation authority and what must persist before a visit becomes Completed.

  4. Rehearse rejection paths

Attempt self-approval, a stale revision and completion before approval. Test overlapping vehicle commitments, an open Critical defect and a stock reconciliation mismatch. Confirm the incoming shift can find the reason each case remains unresolved.

  5. Reconcile and release

Compare open visits and load commitments with the physical yard, then reconcile stock requests and operation receipts. Have the responsible people accept the operating results before extending to another shift or connection.

FAQ

Questions, answered

Scope, rollout and pricing for Yard Management System.

All questions
How do I get started?

Click Get started, then use Proto to configure Yard Management System for your business. Pilot a yard shift with a known parking area, active loads and an independent dock reviewer. Include a waiting trailer and a failed stock reconciliation so the team can rehearse the exception handoff.

How do we connect a trailer to a load?

Inventory Clerk records the trailer on a yard visit linked to the parent load. The visit retains arrival, waiting minutes and parking slot; the load retains the carrier, dock door and seal. Use the load number to resolve similar-looking carrier arrivals.

Who decides whether a trailer can proceed to a dock?

Transport Supervisor reviews the submitted visit and records approval or rejection. The person who created the visit cannot approve it. Confirm the current revision and dock availability before authorizing the action.

When is a yard visit complete?

The visit becomes Completed after approved dock work has a persisted outcome. An approval gives permission to proceed; the action evidence confirms what happened. Keep an unresolved result available for investigation.

Can we plan drivers and vehicles?

Assignments connect a driver and vehicle to a load over a start and end interval. Check eligibility, readiness and competing commitments before confirmation. An open Critical vehicle defect needs resolution before release.

How do we review delivery performance?

Compare actual delivery with the original promised delivery time. Stop appointments retain their windows and actual events, while the recipient proof reference supports the handoff. Keep loads without an actual delivery time separate from evidenced deliveries.

What happens when stock scope changes?

Inventory Supervisor authorizes a request quantity correction or cancellation and checks the affected held reservation release. Retain posted movement history and reconcile the resulting scope before closing the warehouse handoff.

What does a failed reconciliation mean?

The posted movement total did not match the authorized request quantity. The workflow records a failed receipt and leaves the request unchanged. Inventory Supervisor investigates the evidence and repeats the check using the stable request operation identity.

Which systems can we connect?

Agree the carrier, fleet, warehouse and financial systems that own your external evidence. Connections need field mappings, source identifiers and retry tests during setup. Review the integration plan with each system owner.

What does it cost?

Ordinary manual work in the official interface has no per-user fee. Machine activity and retained data follow platform usage rates; implementation and applicable agent or model charges are separate. Use pricing to estimate the pilot from your expected imports and operating activity.
