What you can do

Record who actually came

Attendance is the record that a confirmed booking was delivered. The instructor or the front desk checks the member in at the start of class, and the check-in records the time and the staff member who recorded it. The booking moves from Confirmed to Attended, and the session counts once against the member’s plan allowance.

A confirmed member who does not arrive is marked no show. When every confirmed booking on the session is either Attended or no show, the session is marked Completed. This gives the Studio Manager a closed class with a clear count of who came and who did not.

How the work is organized

  • Check-in from the confirmed list. The instructor opens the confirmed bookings for the session and checks each member in as they arrive.
  • One check-in per booking. A booking has a single attendance record. A second tap on the same member does not count the session twice against the plan.
  • No-shows marked before close. Confirmed members who did not arrive are marked no show so the session can be completed and the studio’s no-show policy can apply.

What to agree during setup

Agree who checks members in: the instructor, the front desk, or either. Set how long after the start a late arrival is still checked in. Decide what a no-show costs the member under each plan. Link every instructor and coordinator to their platform user so the person who recorded each check-in is clear. Test check-in on the device used at the studio door.

Check the handoff on an actual case

Fourteen members hold confirmed places in Tuesday’s 7:00 Hatha session. The instructor opens the confirmed list at 6:50 and checks members in as they unroll their mats. Twelve arrive. Each check-in records the time and the instructor’s name, and each booking moves to Attended.

At 7:15 the instructor marks the two missing members no show. Every booking is now accounted for, so the session is marked Completed. Later that morning, one of the no-shows emails to say she was in the room. The Studio Manager checks My Check-ins for the instructor, confirms with the instructor and corrects the booking to Attended with a check-in under the instructor’s name.
