Practice Styles and Credentials

Members ask what a class involves, and studios need to know which instructors hold a current certificate for each style. This module keeps both. A practice style record is captured against a booking and holds the style name, its intensity (Gentle, Moderate or Vigorous) and the equipment needed, such as blocks, bolsters or a meditation cushion. An instructor credential links an instructor to a practice style, with the certificate attached and its expiry date.

Instructors capture both records. Each one is attributed to the person who entered it and flagged for the Studio Manager to review.

• Style captured on the booking. The instructor records the style and intensity delivered for a booking, which helps the front desk advise members with injuries or beginners.
• Certificates with evidence. Each credential carries the certificate file and its expiry date. Once submitted, the evidence is kept as filed.
• Expiry watched ahead of time. Credentials nearing expiry appear on one screen so instructors can renew before they lapse.

List the styles you teach and the intensity you assign to each. Agree which certificates each style requires, such as a 200-hour teacher training, a prenatal certificate or a mindfulness teacher qualification. Decide how far ahead of expiry the Studio Manager wants a reminder and who chases renewals. Collect current certificates from every instructor before the first import.

An instructor finishes a prenatal yoga certification in June. She uploads the certificate, chooses the prenatal style and enters the expiry date two years ahead. The credential is submitted and flagged for review. The Studio Manager opens the file, checks the issuing school and expiry date, and approves it before adding her to the prenatal schedule.

Twenty-two months later, the credential appears on Credentials Expiring Soon. The manager reminds her to renew, and she submits the new certificate as a new credential record. The earlier certificate stays on file as evidence of the period it covered.
