Prepare finance review with Proto

Prepare finance review work with Proto while keeping decisions with the responsible operator.

It can

  • AP Specialist: List pending bills with the vendor reference, recorded input tax credit and supporting invoice for Controller review.
  • AR Specialist: Explain an overdue customer's balance using the invoice total, amount received and due date.
  • Treasury Analyst: Find released payments that need a bank evidence review and list their linked documents.
  • Staff Accountant: Compare recorded tax amounts for the selected period with the documents behind the GST position.

Stays with a person

  • Controller decides bill approval and the financial review policy.
  • Treasury Analyst acts within the agreed payment authority.
  • Proto's summary does not establish bank settlement or replace the review of a source document.
  • Keep changes within the acting person's permissions and obtain the required human decision before taking the corresponding action.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the accounting scope

Controller chooses the first organization and tax period with Staff Accountant. Confirm the base currency, document inclusion policy, invoice date basis and treatment of recorded tax amounts.

  2. Map records and responsibilities

Admin maps users and finance staff. Import the chart of accounts, period calendar and active counterparties before dependent documents. Agree bill approval and payment release authority with Controller.

  3. Prepare the pilot documents

AP Specialist enters a vendor bill and AR Specialist prepares a customer invoice. Review source files, line coding and tax amounts before using the approval and send actions.

  4. Rehearse payment and exceptions

Treasury Analyst releases a scheduled payment and follows it to bank evidence. Include a partial receipt, a failed action and an invalid status transition. Staff Accountant tests an unequal journal and a closed-period entry against the agreed controls.

  5. Review the period and open access

Compare the GST position with the native documents, reconcile balances and read the action receipts. Controller records the review conclusion. Expand the scope after ordinary role accounts can perform their tasks and unauthorized actions are rejected.

Scope, rollout and pricing for Accounting with GST/Tax.

All questions
How do I get started?

Click Get started, then use Proto to configure Accounting with GST/Tax for your business. Pilot a current tax period with a vendor bill, a customer invoice and their payment evidence. Agree the account mapping, recorded tax treatment and review responsibilities before expanding access.

What does the GST position show?

GST Position & Tax Periods shows recorded output tax, recorded input tax credit and the net recorded tax for the selected period. Open the contributing documents to check the amounts and dates. Controller agrees the inclusion policy before the team relies on a comparison.

Who approves a vendor bill?

Controller reviews the supported amount and uses the bill approval action. The action records a review decision and operation receipt when it moves the bill to Approved. AP Specialist prepares the source document and follows any correction requested during review.

How do we check input tax credit?

Review the recorded credit on the vendor bill against its supporting invoice and assigned tax period. Use the bill lines to inspect coding and the selected tax code. Agree the applicable treatment with the responsible finance reviewer during setup.

What happens when we send an invoice?

The invoice send action operates on a draft, records its operation result and moves the invoice to Sent. Agree the customer delivery connection during setup and inspect its delivery evidence separately when confirming that the customer received the document.

Does Released mean the payment has reached the bank?

Released records the local payment stage after the release action. Treasury Analyst still compares the payment with bank evidence and records the reference before completing reconciliation. Review the linked bill or invoice balance after that comparison.

How do partial payments stay visible?

Compare the invoice total with the amount received, or the bill total with the amount paid. Keep the remaining balance and due date visible during follow-up. AR Specialist uses Partially Paid for customer invoices that retain an unpaid amount.

How do we prepare a period review?

Staff Accountant checks the tax documents, journal totals and unresolved payments for the selected interval. Controller records the conclusion and close notes under the agreed period policy. Rehearse closed-period posting restrictions during setup.

Can an auditor inspect the supporting documents?

Set External Auditor access to the agreed finance scope and test the path from a document to its decision, action receipt and attachment. Include the file permissions in that test so the intended reviewer can open the evidence without changing financial records.

Which external connections should we agree first?

Start with the bank evidence source, customer invoice delivery and document store. Name each owner and agree references and retry behavior. If the business uses a tax filing provider, configure that handoff separately and retain the provider's own acknowledgement.
