What you can do
Keep each quote revision answerable
A quote for aerospace parts changes as the customer refines part revisions, lot quantities and certificates. The Quotes record holds the commercial answer for one revision: the Counterparty, the Subject, the Owner from team members, the Organization that issues it, the valid until date and the net amount USD produced by pricing. Record number is the reference your team and the customer use when they talk about the quote, while Revision and Version tell everyone which iteration is in front of them.
A quote moves through Draft, Review, Approved and Accepted, and can end as Rejected or Expired. Only a Draft quote can be priced. Once priced, it waits in Review until a Pricing Reviewer decides. After approval the customer has until valid until to accept; acceptance after that date is refused and the quote is closed as Expired.
How the work is organized
- One owner per quote. The Owner field names the Quote Specialist responsible for the quote from draft to handoff. The My quotes view filters on that field, so each specialist starts the day with their own open revisions.
- Revision as the unit of decision. Pricing, review and acceptance all carry the expected Revision. A decision recorded against an older revision is refused, which keeps an approval from drifting onto lines that have since changed.
- Organization scope. Every quote belongs to one Organization together with its customer and its team. Pricing only acts on quotes inside the organization the request names.
What to agree during setup
Agree how record number is assigned and how Subject should describe the parts quoted, so a buyer’s question can be matched to the right quote quickly. Decide the default validity period you set in valid until for each kind of customer, and who may extend it when a customer needs more time. Agree when a customer change justifies a new Revision and how Version is used if you keep customer-facing versions separate from internal revisions. Confirm which Organizations issue quotes and which team members can own them.
Check the handoff on an actual case
Take a recent quote where the customer changed the lot quantity after the first price went out. Recreate it as a Draft with the original Revision, add its lines and price it so it lands in Review. Then record the customer’s change: the Pricing Reviewer returns the revision with a reason, the Quote Specialist updates the lines and the requirement, and the next revision is priced and reviewed again.
Ask the Quote Specialist to show which revision the customer accepted and the accepted at date. Ask the Pricing Reviewer to show the decision that approved that revision and the reason recorded with it. Ask the Auditor to find both on their own. Everyone should land on the same Revision, net amount USD and acceptance date, with the earlier Return decision still visible beside the approval.
What your team sees
- Quote pipeline — open quotes from Draft to Accepted with owner, revision, net amount and status.
- My quotes — the signed-in specialist’s own quotes with status, revision and validity date.
- Quote validity watchlist — quotes still in Draft, Review or Approved whose valid until has passed.
The Operations Overview page in the app brings quote value, requirement readiness, review demand and operation exceptions together for the whole workspace.
Follow the work through
- Draft to priced quote: Build a draft quote with its lines, then price it against a price book revision.
- Pricing review to acceptance: Record an independent decision on the revision and capture the customer’s acceptance before the quote expires.
Review the implementation plan and the data model before importing open quotes.
